Position Purpose: Describe the primary purpose of this position and how it contributes to the organization’s objectives. This position supports greater administrative and operational efficiency which ultimately aids in ensuring timely and effective medical services at CAM. With a focus on tracking and accountability, this position supports the efficiency of responses to issues that arise in the Medical Department that require the attention of management/administrative staff. |

Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Tracking credentials/licenses for Medical Department staff: DOC Nursing, Dental, Agency staff, and Vendors – Wellpath, Centurion, and Diamond. Tracking of Liability Insurance. CPR/AED and First Aid tracking for credentialing. Responsible for taking and typing minutes during Medical Department meetings. 2.0 hours. Updating and tracking ACA Outcome Measures Report. May assist with collecting documentation for ACA Standards. Year-round. Responsible for making sure gate clearances are completed, when needed. 1.0 hour weekly. Responsible for completing Medical’s Vendor Six-Month Gate Clearances. Six-month gate clearances are required twice a year, in December and June. They need to be resubmitted every 6 months and updated clean checks noted. If CLEAN check expired during the 6-month period, separate gate clearances are required. DC-457 Medical Injury Reports. Monthly average is about 150-200. Monthly tracking folders are created and number is tracked for QA/QI Mandatory Monthly Meetings. Forwards all employee injury copies which are maintained by the Medical Records Supervisor’s office for employee files. Back-up for COMPASS Input. Daily. Responsible for all Medical Department filing in CHCA’s office. Responsible for surplus, when needed. Responsible for updating employee emergency phone list for Medical Department. Responsible for reserving Medical Department conference rooms. Tracking EPRs. CHCA’s employee-related filing and educational tracking. Tracking Yearly Fit Testing for Medical. Creating Master Schedules for CHCA/Dental/Clerical/Medical Records. Completing and submitting Supervisory Change and Schedule Change Forms to HR. Creating Tracking for Employee Numbers, Position Numbers, Contact Information. Back up for Clerical Assistant II (separate clerical position). Other duties as assigned. Essential functions include, but may not be limited to: 1. Effectively communicate verbally and in writing. 2. Perform basic mathematical computations. 3. Review and interpret information (basic). 4. Operate basic office equipment. 5. Perform repetitive motions. 6. Maintain regular and reliable attendance. 7. Establish and maintain effective working relationships. 8. Attend and participate in all mandatory training and/or testing. 9. Work overtime in compliance with provisions of the Collective Bargaining Agreement. 10. Travel as required. 11. Be mobile over all types of physical surfaces and levels (in an institutional setting). 12. Be visually observant of environment (in an institutional setting). 13. Hear and identify sounds (voices, whistle, buzzer, lock release, scuffling, sudden quiet, in an institutional setting). |

Prepare formal responses for supervisors, Deputy or Superintendent's signatures as a matter of protocol. This position closely monitors these functions and makes independent decisions on workflow and assignments based on DOC Policy, institutional procedures and on-going priorities. |
