Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Operates personal computer using installed software packages for tasks such as word processing, spreadsheets, email and case tracking. Uses features such as autotext, autocorrect, templates, spellcheck, and thesaurus to improve efficiency and eliminate repetitious effort. Adjusts line spacing, margins, page numbers, indent, font size, and other attributes to format documents to the acceptable standard. Maintains an organized electronic filing system for all work completed using standardized naming conventions. Using computer equipment and appropriate word processing programs, types decisions, briefs, and orders of the Pennsylvania Labor Relations Board (PLRB) from the inception of a case to its final order from handwritten drafts, dictated sources, and canned format to a final form. Prepares the necessary certified notifications and letters to all attorneys, unions and other parties involved in each case. Sets up format for various PLRB orders or other documents. Revises material from authors to assure that appropriate standard formats are used. Proofreads material to ensure that projects are complete, consistent and grammatically correct. Back-Up Receptionist Duties: Opens and stamps in incoming mail. Begins preparing checklist for each new charge or petition filed. Indicates whether originals have been filed, whether charges are notarized and whether petitions are accompanied by showing of interest. Makes work copies of charges and checklists and forwards to the Legal Assistant. Checks the PLRB resource account email account daily and distributes items to staff via email. Sends out copies of requested orders, petitions, charges and other forms, and other materials such as PLRB Annual Reports. Processes outgoing mail, including certified mail, and assures timely mailing of PLRB orders. Prepares closed case files for archiving process. This case processing task includes adhering to the retention list of documents, purging documents not retained, counting of pages when necessary and matching the correct summary sheet with the correct case. Other duties include quality verification of all returned scans and cases. Performs other tasks as required, including filing, entry of information into the Board’s docketing system and answering telephones. Copieslegal orders and all pertinent documents, exhibits and attachments and other materials as requested. Assists with representation elections where there are multiple sites and/or large units of employes, as required. Revises and updates permanently stored material in computer files or on disks following approval of such changes from supervisory personnel. |
