Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position is responsible for independently creating all PGC vacancy postings and requisitions within NEOGOV, CDL program, child clearances and serves as a back-up to the HR Assistant 1 position.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

• Responsible for creating/reviewing requisitions and vacancy postings within NEOGOV, monitoring posting timeframes and qualifying applicants against the METs. Prepares transmittal and provides hiring guidance on filling vacancies. Monitors resource account daily for emails/questions.

• Schedules interviews through NEOGOV, tracks scheduling of interviews according to Civil Service & Non-Civil Service rules and policy. Sends schedules to supervisors/managers.

• Oversees and directs the CDL Random Drug and Alcohol Testing Program - Ensures CDL policies are being followed, and CDL-covered employees have met all the licensing and pre-employment testing requirements and participate in the required random drug and alcohol testing programs. Confers with the State CDL Program Coordinator in the Office of Administration and provides consultative services to CDL Coordinators within the regions and bureaus. Inputs required changes into SAP and prepares appropriate correspondence. Creates and facilitates training to employees prior to performing CDL duties to include policies, procedures, testing requirements and consequences mandated by State and Federal guidelines. Ensure employees in the CDL program are scheduled for pre-employment, random and other testing as required. Ensure confidentiality in employee notification, test results, and maintenance of records. Coordinates with SEAP Coordinator and Labor Relations Analyst on any positive results and corrective actions. Coordinates and monitors mandatory follow up tests for next year according to policy.

• Monitor and oversees the PGC Careers email account. Answers questions regarding job opportunities and provides assistance.

• Monitor and oversees the PGC Game Vacancy Bids email account. Answers questions regarding job postings and eligibility and provides guidance.

• Independently represents the PGC at job fairs. Represents the PGC statewide at college and high school career fairs. Develops job fair material to be distributed at these events.

• Independently gathers, designs/prepares, and submits reports as requested by various staff, such as vacancy reports, utilizing MS Office and IRIS.

• Responsible for processing and tracking child abuse clearances, criminal history, and fingerprints.

• Conducts and develops HR trainings that encompass hiring and placement to all PGC staff.

• Assists with Employee Onboarding process.

• Assists with typing, copying and assembling of training materials such as handouts and manuals.

• Assists with reviewing transactions/letters for accuracy.

• Assists with coordinating meetings by establishing meeting dates, obtaining agenda items, typing and distributing meeting notes, identifying and following-up on pending assignments.

• Drafts various correspondences to be sent to Regional Offices and Bureaus regarding changes to HR policy and procedure.

• Present briefings, trainings, and speak to individuals/groups as necessary.

• Serves as back-up in providing employment verifications, employment information, and furnishes applicants with required forms as requested.

• Proofreads various types of materials to ensure information is grammatically correct, complete, consistent and adheres to agency rules and regulations.

• Serves as back-up in receiving visitors and telephone calls coming into the office by screening calls and directing individuals to appropriate personnel.

• Travels as required for meetings, training, seminars etc.

• Performs other assignments as assigned.
