Position Purpose:

Serves the public and park staff in the performance of the following park office clerical duties at Ricketts Glen State Park:

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Monitors and orders office supplies and promotional brochures associated with the park office and visitor center operations.

Orders and maintains park store inventories for resale in the park store as part of the park’s revenue-enhancement project.

Reconciles and processes monthly automotive reports and completes necessary DGS website inputs and filing.

Utilizes the Parks Reservation and Revenue System to make reservations within the rental time frames set by the system; collects and records payments for overnight facilities and point-of-sale items; reconciles daily cash balances with cash-drawer amounts; issues refunds for changes in reservations; and produces daily usage reports for all reservable facilities.

Reports all problems with software to proper sources for corrective action by communicating with bureau and region technology coordinators to maintain the integrity of computer systems and programs.

Uses Park computers with Microsoft Office for Commonwealth, bureau, and employee forms, databases, and other peripheral applications to complete clerical tasks.

Maintains the integrity of computer-stored documents through regular backup procedures. Purges park, general information, and correspondence files as needed.

Processes and distributes daily mail, logs postal stamp usage, and reconciles the postal stamp log with current stamp inventories.

Serves as the park’s conservation coordinator by working with volunteer conservation organizations, groups, and individuals.

Maintains the conservation-volunteer database and its functions in tracking all volunteer activities.

Creates and distributes news releases about special events, maintenance projects, and environmental programming to various media outlets.

Assists visitors by answering questions concerning park history, facilities, directions, and bureau rules and regulations.

Directs telephone, email, and two-way radio communications to the appropriate park personnel for action.

Makes reservation and travel arrangements and processes travel and hotel expenses through the SAP system.

Serves as training coordinator for the park and schedules (after manager approval) park personnel for trainings and conferences relevant to their job titles.

Schedules accommodations when needed for training and obtains any information required by park personnel.

Maintains training records for all park personnel.

Responsible for agreement management within the Park Portal. Creates LOA, CUL, SAA, and other types of agreements by communicating with event sponsors.

Files workers’ compensation incident/medical reports in the SAP system and handles workers’ compensation claims.

Organizes and schedules interviews for potential new employee candidates.

Performs other duties as necessary or required.

Works weekends and holidays as necessary.
