Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Receive and inform the Personal Care Administrator of any violations of the House Rules of MacArthur Hall, HVH Policies, and the DMVA Resident Code of Conduct. Type warning letters as directed by the Personal Care Administrator to be issued to residents regarding such violations. Maintain a variety of binders, files, and manuals under the direction of the Personal Care Administrator for compliance with the Department of Human Services Personal Care Regulations, surveys, HVH House Rules, and rules and regulations of the DMVA. Under the direction of the Personal Care Administrator, collect information and materials or forward inquiries as needed so that a prompt response can be made to the appropriate department. Attend meetings with the Personal Care Administrator when warning letters are issued to residents. Track on a monthly basis Resident Assessment and Support Plans (RASPs) and Documentation Medical Evaluations (DMEs) for annual completion and by notifying the assigned Licensed Practical Nurses (LPNs) of residents are due within the following six week timeframe. Provide tours as needed of the MacArthur Hall facility. Complete admission contracts/documents and process for new resident admissions to MacArthur Hall. Assist in gathering information regarding CQIs associated with plans of correction for the review of the Personal Care Administrator. Type correspondence (ex: house rules revisions, correspondence/notifications for residents) and place in resident mailboxes. Provide the mailroom with the reimbursement envelopes from the vending machines for the residents’ mailboxes. Attend Resident Council Meetings at MacArthur Hall and take notes for the Personal Care Unit. Maintain various equipment and office supplies and prepare via electronic purchase requisitions/shopping carts as needed for the Personal Care Unit. Submit Information Technology (IT) help tickets and work orders as needed. Maintain resident roster and room chart. Proofread all drafts before and after being typed; duplicate and distribute as appropriate under the direction of the Personal Care Administrator. Assist in maintaining documents and posting on all bulletin boards as per DMVA and DHS requirements. Assist residents in sending documents to appropriate departments on their behalf. Assist residents with routine questions (ex: questions regarding public transportation, look up local restaurant or store phone numbers) and any assistance they may require. Make the necessary arrangements for all out of town travel for the Personal Care Administrator such as conference registration, hotel reservations, and transportation. Attend scheduled trainings as required. Support the facility QAPI efforts by attending all assigned QAPI training; following established policies and procedures in support of QAPI efforts; participate in PIP teams as assigned; sharing ideas for improvement in the organization; and supporting QAPI efforts both verbally and non-verbally, including adjusting performance and practice in accordance with QAPI initiatives and findings. Perform work in accordance with the DMVA general safety rules and safety rules for this position. Immediately report all workplace injuries or incidents to the supervisor; and/or immediately correct any safety hazards in the work area or report same to supervisor. Use personal protective equipment when required such as gloves, masks, face shield, etc. Perform other related duties as required. |
