Position Purpose: Describe the primary purpose of this position and how it contributes to the organization’s objectives. Provides clerical support for the environmental protection programs headquartered in the California District Office which include District Mining Operations, Mine Subsidence Insurance, Clean Water, Safe Drinking Water, Waste Management, and Oil and Gas Management. Performance of the job duties requires a thorough knowledge of the policies and procedures of the Agency. |

Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Serves as main receptionist for the office. Screens, and directs all incoming calls. Takes messages or forwards to staff's voicemail. Greets and directs all office visitors. Schedules appointments for coal status reports for public review of maps. Schedules use of conference rooms. Processes incoming and outgoing mail which includes: batching, stamping, wrapping bulky items, certified mail, maintain a daily log of postage usage, and notifies supervisor when postage reaches $3,000 and when mailing supplies need ordered. certified mail. Maintains adequate supply of Mine Subsidence Insurance applications, rate charts, and brochures for dispensing to the public after receiving requests. Contacts courier for pick-up of samples. Affixes labels to coolers for water sample shipments to Harrisburg lab. Maintains adequate supply of ice for coolers. Input six-month notification letters in the Bituminous Mining Information System (BUMIS) Types correspondence, reports, envelopes, labels, forms, and memos. Proofreads typed material for typographical and grammatical errors, completeness and accuracy and ensuring adherence to agency rules and regulations. Prepares invoices for copies and maps purchased by general public. Issues receipts for payment of invoices. Sells water test kits to public. Collects monies for water kits, map sales, and photocopies. Processes checks and create revenue document in SAP and transmit revenue. Prepares files for archiving which consists of purging files, removing staples, paper clips and binder, scanning and saving to OnBase system. Review completed digital files are correct and complete in OnBase. Serves as back-up for Clerical Assistant 2 and assumes responsibilities as needed: • Input six-month notification letters in the Bituminous Mining Information System (BUMIS) • Types field notes and quarterly unresolved updates prepared by inspectors and information into BUMIS. Serves as back-up for MSI Clerical Assistant 2 and assumes responsibilities as needed: • Types damage claims, reports, and related correspondence, memos and forms pertaining to MSI program. Promotes the Department's mission. Inputs appropriate data in a prescribed format to meet data quality standards set forth by guidance, training, and policy across all of DEP's electronic data systems; to include ensuring accuracy and completeness of entries, and where available, the use of system specific tools to ensure duplicative entries and data quality issues are minimized. Other Duties: Maintains a desk manual and keeps it up to date. Enters all CAT data into SAP. Operates Ricoh copies with fax and map printer.
