Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Position provides administrative and clerical support to multiple departments and is supervised by the Quality Assurance Risk Management Coordinator. Position supervises clerical assistant 2 positions within the facility that are assigned to support multiple departments.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Supervises clerical assistant 2 positions, assigns duties/tasks in support of various services to ensure effective and efficient operations. Conducts training with staff, completes performance reviews, responds to discipline, complaint/grievance resolution. Requests for time are approved and a schedule is posted in advance to ensure adequate staff coverage of all areas. Conducts interviews to fill vacant clerical positions within the facility.

Monitors time used by staff under this employee’s direct supervision. Saves time use data onto Shared Folders by pay period. Performance Evaluations including mid-point progress reviews and Position Descriptions are completed for clerical staff as required.

Monitors the Mail Room function to insure incoming and outgoing mail service is handled properly, expeditiously, economically and accurately. Prepares rotating schedule for clerical staff working in the Mail Room and is part of the rotation. Approves Agency Purchase Requests for equipment and supplies required for the efficient operation of this function. Orders equipment and supplies as needed through SRM. Monitors Service Purchase Contracts covering maintenance and service of mailing equipment.

Monitors a contract with United Parcel Service for all packages received and sent out from the Center.

Maintains basic knowledge of computer programs including Word, Excel and Publisher.

This position functions in concert with other clerical/secretarial supervisory positions within the facility to support any facility-wide needs or projects as assigned.

Independent judgment is exercised in the performance of duties/responsibilities following prescribed procedures and through consultation with the Quality Assurance Risk Management Coordinator. In the absence of the Quality Assurance Risk Management Coordinator, direction is also received from the Quality Assurance Risk Management Director.
