Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. 1. Use computer applications to type correspondence of all types to include administrative communications, reports, policies and statements and utilize a variety of codes and procedures to manipulate the computer, including the storing and retrieving of data and files. 2. Work involves proper formatting, typing, proof reading and editing of all correspondence in such a manner as to meet all set deadlines with responsibility for ensuring grammatical accuracy of all correspondence and related materials. Documents are typed from handwritten draft and/or dictated tapes into draft and final form according to pre-designed formats by transferring information onto letters, reports, memos, forms, form letters, cards, envelopes, labels, charts, tables, etc. 3. Provides direct clerical support for the Department Manager, his/her subordinate staff and other administrators as needed. Work includes typing of letters, reports, memos, post orders, inspection tracking, employee evaluations, meeting minutes, policies, etc. Cross training in other areas or other departments is appropriate in order to provide coverage to those areas in the case of staff absence. 4. Perform receptionist duties by directing individuals to proper locations, answering incoming phone calls, responding to direct questions, screening and routing telephone calls and relaying information. 5. Responsible for proper filing of all correspondence, reports, and related paperwork, as well as keeping and maintaining a pending file. 6. Photocopy, collate and assemble documents for appropriate distribution. 7. Responsible for using discretion and judgement in the retention and dissemination of confidential or pertinent information. 8. Process Agency Purchase Requests (APR's) as needed. 9. Responsible to work with minimal supervision in performing duties involving the Clerk Typist position. 10. Ability to perform within the prescribed office procedures, maintain harmonious working relationships and function according to establish work practices and conduct. 11. Ability to understand and follow detailed, straightforward, oral and written instructions. 142 Responsible for developing and maintaining a professional working relationship with employees at all levels of command.
