Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

To answer incoming calls and direct them appropriately and place outgoing calls as needed. To perform clerical duties for the following: Deputy Superintendent for Centralized Services, CCPM, Superintendent's Assistant, Superintendent's Secretary, Records Supervisor, other Departments as directed, based upon Institutional need.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

35% Answers incoming calls and directs them appropriately. Types various memos, reports, and correspondence. Responsible for, but not limited to, transcription of reports, data entry within mainframe as directed and all databases/spreadsheets; composition of memos, forms, and reports with Multiple Software versions; compiling and production of reports, graphs and statistical data with Excel and Access Software.
25% Recode or enters attendance data. Resolve error reports. Process schedule substitutions. Disseminates information to employees. Resolves employee data issues with Time Keeping.
20% Responsible for inputting medical staff timekeeping/payroll, taking minutes at administrative and staff meetings as designated, and transcribing those minutes for distribution after review by Manager or designee for accuracy. Assists other departments as assigned by Manager designee or Deputy Superintendents.
10% Responsible for typing and correlation of all printed policies, procedures, memos and other materials as designated by the Manager or designee.
10% Responsible for ordering supplies as designated by the Manager or designee. Be knowledgeable of SAP, ESS and Concur systems, to enter information for staff as directed.

Work direction is received in the form of oral or written instruction. Work is assigned and reviewed by the Manager or other administrator where appropriate through reports, conferences, meetings, and observations.
