Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position provides H1 timekeeping and office support within assigned department at the Department of Corrections (DOC) SCI Camp Hill.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

85% Performs H1 timekeeping functions utilizing the SAP system. Possesses a thorough working knowledge of all pay rules, collective bargaining agreements, and time-related policies. Investigates and resolves payroll discrepancies; verifies and corrects entries; inputs payroll substitutions; completes missing punch reports; enters overtime and higher- class attendances; runs absence lists, time transfer error and time eval message reports, and determines and applies appropriate pay rules. Enters all FMLA absences via ESS. Rectifies quarterly payroll discrepancies. Calculates travel reimbursement and enters accordingly.

15% All other duties as assigned including but not limited to: preparing packets; sending and organizing emails; reviews documents and correspondence for grammar, numerical, and spelling errors. Submits all documents, reports, correspondence, etc. in a timely manner. Records and distributes messages. Responds to general inquiries, and reviews files to respond to basic information requests. Maintains accurate filing systems and end of year archiving in accordance with retention of records. Updates and maintains databases, reports, spreadsheets, and queries.

1.Post Correction Officer's 4,3,2,1 and Trainees time and Culinary Staff in SAP, track time and attendance including Overtime, turnaround time, holidays and trainee scheduling, walk-time.
2.Check leave slips for completeness, proper codes, dates and signatures and scan/e-mail HR any pertinent documentation. Also assist with Maintenance & Culinary Timekeeping as needed.
3.Complete and maintain a list of officers who are in CN3 and C4 status for Jr Shift, which should be sent out every Friday.
4.Research / respond to questions the Officers may have regarding their pay or leave status.
5.Must stay familiar with combined leave agreement in accordance with the H-1 contract.
6.Responsible for the entry of Comp Leave Program for H-1 bargaining unit.
7.Maintain current information on Officers on long term, military disability/sick leave, Trainee wage process and the appropriateness of the information for further processing.
8.Stay current with HR Dept as to which officers are off on Long-term sick, DH, FMLA and/or military leave.
9.Advise Shift Commanders and/or Jr Shift Commanders or Culinary Management when documentation is needed or is missing. Any documentation received by timekeeping should be forwarded to HR, Shift Commander, Jr Shift Commander and Major of the Guard. If DH also to the DSFM.
10.Advise Jr. Shift Commander or Culinary Management of what is needed when Officers or Culinary Staff return from long term sick leave or disability leave.
11.At the end of the pay period, have all leave, overtime, walk time, out of class pay, schedule changes, etc. entered onto the SAP system correctly and in a timely manner.
12.Review error reports, rosters and correspondence to ensure information is correct, complete and adheres to agency/union rules and regulations.
13.Prepare and distribute to Jr. Shift Commanders a list of leave slips and documentation needed from officers for previous pay periods.
14.Compile weekly reports on Non-Prescheduled Leave for the Jr. Shift Commander
15.Perform other related duties as assigned.
16.Timekeeper work schedule and priorities are subject to off shift due to external influences, timeframe constraints and/or self-imposed priority changes.

Work is done independently on a daily basis. When timekeeping data is entered into SAP, the supervisor is notified of any errors or adjustments needed by Human Resources. This work is given directly to the employee to correct.
