Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. 10% Answers, makes, and directs phone calls via desk phones or multi-line switchboard. Records and distributes messages. Responds to general inquiries, and reviews files to respond to basic information requests. Receives, sorts and distributes incoming mail. Prepares and sends outgoing mailings and packages. 30% Types documents and correspondence via computer for all court cases. Reviews documents and correspondence for grammar, numerical, and spelling errors. Makes any necessary corrections and completes distribution. Submits all documents, reports, correspondence, etc. in a timely manner. Checks and enters data to include payroll data and pertinent to respective office duties. Timekeeper for Security Office and Maintenance Department. 5% Schedules, organizes, and coordinates appointments, meetings, and videoconferences. Takes and distributes meeting minutes if necessary. 20% Maintains accurate filing systems and end of year archiving in accordance with retention of records. Updates and maintains RISP/EDDE databases, reports, weekly cell search, weekly ION/EDDE spreadsheets, and queries, and work order entries and closings. 30% Compiles records of office activities, and coordinates workflow to ensure office runs smoothly. Monitors and orders inventory of office supplies. Maintains, compiles and tracks End of Month RISP, Weekly Ion/EDDE, Weekly Cell Search, Weekly Status reports. 5% All other duties as assigned including but not limited to: photocopying, scanning, and faxing; sending and organizing emails; and keeping office area neat and tidy.
