Position Purpose:

Provides clerical and office support within one of Ebensburg Center's Residential Units, to ensure its operations are conducted efficiently and effectively.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

This employee types, copies, distributes and/or files the following: Memos; formal correspondence with parents, outside service agencies and organizations; unit policies; annual review narrative summaries; oral and written reprimands; admitting/discharge client summaries; staffing assessments; job descriptions; staffing and program schedules; unit census sheets, and a variety of miscellanea requested by this employee's supervisor and other unit staff. This employee assists other staff within the unit with operation of the computer system and programs. This employee maintains confidentiality concerning individual and employee information.

This employee takes dictation either by phone or meetings. This employee transcribes, types, and proofreads all typed materials for correctness, accuracy, and neatness.

This employee is responsible for the individuals' charts which are located in the Nurses Station. This responsibility includes: Filing in each chart according to standards established by the facility; purging each chart yearly according to facility policy and maintaining a file on same within the unit; setting up new charts for new admissions; maintaining a neat and orderly appearance of each chart. This employee acts as a source of information to professional staff on the chart system; all information is kept confidential.

This employee is responsible for preparing a daily staff time record (sign-in/sign-out) sheet) for their Residential Unit and documents all correct leave codes on these sheets. Daily, this employee also coordinates the logging and distribution of request-for-leave slips to the unit staff. During the RSA seniority-vacation bidding periods (twice a year), this employee is responsible for logging approved/disapproved RSA vacations on the appropriate calendars/books.

This employee maintains a file of current forms for use in the unit. Sufficient copies are made available and accessible to staff. This employee also composes special forms for staff upon request. This employee is responsible for the unit's photocopier.

This employee is responsible for submitting the maintenance work orders for this unit via the Mapper system and maintaining a hard copy for file.

Twice a year, this employee collects the information needed and prepares the unit's RSA voluntary overtime phone list according to bargaining unit seniority.

This employee receives and screens phone calls for the unit; handles recurring, routine matters or refers the calls to the proper staff, takes messages and assures messages are distributed to the proper staff. When required, this employee sets up meetings for this employee's supervisor and disseminates information to other unit supervisors. Twice daily this employee delivers and picks up the unit mail at the Administration Building mailroom and distributes to unit staff. This employee greets visitors to the unit and directs them to the appropriate staff.

This employee is a trained EBPro Requisitioner and orders supplies for the unit through this computer system.

This employee compiles, types and distributes the yearly ISP for their residential unit. This employee keeps a log of each individual's annual review date, assigns a new review date (assuring it falls within Medical Assistance guidelines), and consults with each QIDP for their approval of each date. This employee also arranges for changes in review dates upon QIDP request.

This employee maintains a current address and phone-number log on all employees in this unit.

As postings for job vacancies received, this employee is responsible for the timely posting of these vacancies on the appropriate bulletin boards and removal of dated material.

This employee performs other clerical duties as required.
