Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Answer phone: Standard Display Phone voice mail system (in-house), and Hotline (1-800-FIX-ROAD). Transfer outside concerns to designated district offices. Greet internal and external customers to provide services and/or direct them to the appropriate point of contact promptly and courteously. Enter and maintain online data in the Customer Care Center (CCC)program when electronically submitted by concerned citizens. Direct the CCC entries to the appropriate Maintenance Managers/district staff officials where appropriate. Complete and acknowledge mandatory Online Training courses on various topics as required by the IBM Lotus Learning Management System (LMS) Administrator in conjunction with the Dept. of Human Resources. Prepare a variety of correspondence and reports from rough drafts, outlines or general instructions in accordance to established policies, procedures and business practices. Maintain programs and/or subject matter files as required. Typing can be assigned by the CMM, ACMM’s, RPC, RPT or other members of the management or supervisory staff using Microsoft Office computer programs. Prior to interviews, gather and copy applications and required documents received from candidates being considered for employment and assemble into sets for Interview Review Board reference. Responsible for distributing, collecting and filing CDL Recertification Forms annually to all employees who operate commercial motor vehicles. Copy and distribute weekly Traffic Restrictions Bulletin and current Job Postings to appropriate staff members. Produce laminating and bookbinding projects as needed, in particular, annual snow route maps for operators winter snow plowing reference. Distribute claim forms as requested by the general public for damages related to potholes, mail boxes and road paint. Submit fax to contractor for deer carcass removal as requested through townships, police departments or customer service. Backs up and assists, when needed, the Roadway Programs Technician, with Injury reports. Including, but not limited to, the timely collection of information and signatures, organization of materials and filing with the appropriate offices, i.e. BRIM,HR, Equipment division. Assist RPC and Clerical Supervisor with Online Position descriptions, for such things as promotions, demotions, new hires and reclassifications. Gather and organize employee contact information into phone directory packets for seasonal (Winter/Summer) distribution to ACMM’s and Foremen. Update annually the Radio Operator Desk Manual (Winter) making sure information is current and accurate. Responsible for preparing three separate volumes of the Winter Complaint Books for use in the Radio Room during the Winter season. Work closely with the Traffic Control Center, ACMM’s and Press Office during times of inclement weather- or weather-related emergencies in posting critical information regarding road closures and detours to the Road Condition Reporting System (RCRS). Attend vital meetings to keep abreast of current changes to the system as needed. Function independently, maintaining the Employee Performance Review (EPR) system. Set up and maintain a filing system to ensure EPR’s are distributed and received within the time frame allocated. Review final EPR’s for proper signatures and dates. Coordinator of the Adopt-A-Highway (AAH) program for Bucks County. Duties include, but are not limited to, phone interaction, following through with complete application process, maintaining files and contract agreements, amendments and original contracts, ensuring groups are supplied with the proper safety material, and accountable for the proper ordering, distribution and inventory of all AAH supplies. Dispatch maintenance crew to collect AAH bags after cleanup events in a timely fashion. Work closely with Purchasing Agent and Sign Foreman when placing orders for appropriate supplies and signage for adopted roadways. Also, maintain and preserve AAH database making sure it is always current and kept up to date. In addition, assigned the Bucks County contact for the Great American Cleanup of PA event scheduled from March thru May each year, organizing and distributing cleanup supplies to registered groups and keeping track of pertinent information for annual report. Monitor, maintain and request office supplies, forms and publications for the county office. Keep various bulletin boards throughout the building fresh and updated with important employee information and policies. Process incoming and outgoing mail on daily basis and ensure conformity to US Postal Service regulations. Performs other related work as required. When in an enclosed environment (office buildings, confined spaces, flagger stations, equipment pinch points, etc.), knowyour evacuation process and escape route, your communication protocols, and appropriately react in the event of an incident. 5. Evaluate contractor operations: -Immediately stop unsafe actions -Engage in ongoing safety dialogue with the contractor’s leadership 6. Promote a CULTURE that emphasizes SAFETY as a core value: -Immediately stop any unsafe actions. -Incorporate safety into all discussions, deliberations, and decisions. -Continuously communicate the safety direction. -Inspire employees to be a MODEL for safety. -Encourage and support safety initiatives and programs by participating and involving staff. -Recognize safety daily. -Acknowledge EXTRAORDINARY achievements. -Learn and improve through After-Action Reviews (AAR’s) -Enforce accountability. Succession Planning: (Employees) Take an active role in succession planning by completing a Career Development Plan in collaboration with the supervisor. In conjunction with the supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with other employees. Department Green Plan Policy: As part of PennDOT’s MS4 obligations including NPDES Permit compliance and stockpile good housekeeping, all Construction Inspection Employee, Manager & Supervisor and Maintenance Employee, Manager & Supervisor PD’s must include the following statement: Commit to following the Departments Green Plan Policy (Pub 712) and the associated principals. Failure to comply with Department Green Plan Policy shall be documented in employee’s performance review. Fair Labor Standards Act (FLSA) (Employees): Unless directed otherwise by your supervisor or manager, comply with stated work hours for the 7.50/8.0-hour day. |
