Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. e-Permitting: Manages public upload electronic permit applications; retrieves and routes submissions to the appropriate supervisor or designated personnel for review. Permit Processing: Administratively reviews, generates and inputs Public Water Supply permit application information into eFACTS database. Logs and tracks permit information on various databases and program spreadsheets. Process and dispatch issued permit correspondences, as applicable. Efficiently manage Public Water Supply program revenue by processing, recording, and transmitting application fees, waivers, and penalties to the Fiscal Unit for timely deposits. Responsible for the preparation and submission of public notice data regarding Public Water System permit applications and issuances to the Pennsylvania Bulletin. Manages the submission process for Public Notices to Harrisburg, ensuring timely publication in the Pennsylvania Bulletin for all received applications and final permitting actions. Prepares and submits required documentation to the Delaware River Basin Commission (DRBC). Processes and distributes all Public Water Supply Reports. Right-to-Know Law (RTKL): Manages the distribution of Right-to-Know notifications to program personnel, ensuring timely responses and route to designated personnel. Quality Control: Verify eFACTS data fields to ensure accuracy, completeness, and compliance with data entry standards. Maintain Safe Drinking Water records by organizing, purging, and preparing files for digital imaging (OnBase/Microfiche) in compliance with retention policies. Error Reports: Create modifications for eFACTS monthly generated error reports for the Safe Drinking Water program. Maintain Safe Drinking Water records by organizing, purging, and preparing files for digital imaging (OnBase/Microfiche) in compliance with retention policies. Typing: Types various correspondences for the program, including letters, reports and mail merges. Mail Distribution: Receives, date stamps and distributes incoming documentation to the appropriate personnel. All outgoing mails are processed daily according to administrative procedures. Manages a 30-day tracking system for outgoing correspondence, financial payments, and associated applications to facilitate management review. Telephone: The primary responsibility of this task is to effectively communicate and provide environmental information to the general public, and departmental personnel. Redirect calls to appropriate agencies, having an overall knowledge of DEP and Bureaus within. Receives environmental complaints and forward to appropriate personnel for action. Forward DEP literatures upon request. Routing – Ensures all work gets prepared timely and delivered to the program, on a daily basis. Create and maintain the Safe Drinking Water desk manual, updating as needed. Order and maintain office supplies for Safe Drinking Water program. Participate in unit meetings for discussions on various procedures and making suggestions on how to effectively improve performances to support the Safe Drinking Water program. Input General Permits using eFACTS, in the absence of the Lead Worker, if necessary. Act as a backup in processing noncomplex tasks for Clean Water and Waterways and Wetlands, mass mailing documents, ensures documents are processed using general guidelines established by the Region, such as fonts, styles, font sizes, margins, page layouts, signature blocks, etc. Act as a backup for Clean Water and Waterways & Wetlands programs, as necessary. Promotes the Department’s mission. Inputs appropriate data in a prescribed format to meet data quality standards set forth by guidance, training, and policy across all of DEP’s electronic data systems; to include ensuring accuracy and completeness of entries, and where available, the use of system specific tools to ensure duplicative entries and data quality issues are minimized.
