Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position serves as a centralized timekeeper processing time and payroll actions for multiple bargaining units, with a focus on H1, at a Department of Corrections State Correctional Institution (SCI). May perform remote work for other SCIs at times.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Performs timekeeping functions utilizing the SAP system for all H1 staff, including Corrections Officers and Commissioned Officers, non-ESS users, as well as all ESS users. Possesses a thorough working knowledge of all pay rules, collective bargaining agreements, and time-related policies. Investigates and resolves payroll discrepancies; verifies and corrects entries; inputs payroll/schedule substitutions and reports permanent schedule changes to facility Time Advisor(s); completes missing punch reports; enters and re-codes overtime, walk time, attendances and missed meals; runs reports in SAP, corrects errors and applies appropriate pay rules. Requests, enters, and tracks all FMLA absences via ESS. Tracks employees’ holidays, call offs, stress days, leave without pay, and employees out on long term leave; ensures proper documentation is received for specialized absence types. Rectifies quarterly payroll discrepancies. Adjust records as required by audit reports and directed by Time Advisor and/or the Central Office Payroll and Transactions unit. Back up and assist other regional timekeeping work as required by management and supervision.

All other duties as assigned including but not limited to: submits APR’s; takes meeting minutes; prepares grievance packets; sends and organizes emails; reviews documents and correspondence for grammar, numerical, and spelling errors. Submits all documents, reports, correspondence, etc. in a timely manner. Records and distributes messages. Responds to general inquiries, and reviews files to respond to basic information requests. Maintains accurate filing systems and end of year archiving in accordance with retention of records. Updates and maintains databases, reports, spreadsheets, and queries. Performs other clerical related duties as required.
