Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

In support to the Troop H, Lykens Station Commander, performs the full range of Station timekeeping duties and other clerical work to ensure the Station clerical/administrative operations are conducted efficiently and effectively.

Composes and types correspondence for the Lykens Station Commander. Work involves the skilled typing of a variety of letters, reports, transmittals, vouchers, and agenda in draft and final form and includes responsibility for the format and grammatical accuracy. Independently prepares and completes monthly reports and Significant Activity Report for submission to Troop H Headquarters. Researches and compiles information to submit for the Communicator on a monthly basis. Attends Station meetings and utilizes shorthand skills, then types and distributes meeting notes.

Codes, stamps, copies, and organizes vendor's invoices for Station Commander's approval and signature. Researches and assigns proper coding to invoices, Agency Requisitions, etc. Independently contacts vendors for authorized purchases and payments by using the VISA purchasing card. Maintains files of invoices, requisitions, etc. and reconciles monthly VISA statements.

Serves as the Shift Planner for the Lykens Station. This involves independent and accurate entry of Weekly and Daily Rosters in SAP and determines zone assignments for Patrol members before posting the schedule. Arranges and posts hearings on Daily Rosters. Updates daily call-offs/schedule changes in SAP. Processes overtime, payroll issues, leave management, work schedules, and travel expense vouchers.

Opens, reviews, and distributes all incoming mail according to Station policy. Registers, certifies, and insures outgoing mail. Sends UPS packages as needed. Ensures postage is available in the postage meter for outgoing Station mail and also conducts proper meter inspections.

Inputs data extracted from the Initial Crime Reports and Supplemental Reports into a prescribed computerized format. Follows guidelines for entry and ensures accuracy during the entry process. Forwards reports to the appropriate Bureau for filing purposes.

Maintains Video Library and Station Library. Updates Field Regulations, Administrative Regulations, Vehicle Codes, Operations Manuals, and miscellaneous binders in order to ensure accuracy and proper availability. Maintains the Lykens Station bulletin board and posts Department and Troop Orders, which includes reviewing correspondence in order to become familiarized with contents and determines what procedures to pursue in providing the correct information in accordance with Department regulations.

Maintains Station Filing System. Places and retrieves documents in proper alphabetical, numerical, and chronological order. Prepares new files and purges as needed. Maintains Station personnel records for Lykens Station members/employees.

Performs other related duties as required. Transcribes confidential taped interviews conducted by investigators from audio recorders. Changes server tapes and ensures the proper tape is placed in the server daily to ensure efficient backup of the system. Creates and sends CLEAN messages for limited duty status, etc.
