Position Purpose:

OA H1 Timekeeper. This is a timekeeping/payroll position working in conjunction with the Human Resource Department. The incumbent performs work involving typing, data entry, completion/correction of documents i.e. audits/error reports, tracking leave and processing of hours worked. The main function of this position is to process all Time and Attendance for their assigned shift(s), for Correction Officer Trainees (COT), Correction Officers 1 (CO1) and Correction Officers 2 (CO2); and any other staff assigned to them. Enters in both SAP and ESS System. This position requires the utilization and the application of independent judgement.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

The following are the primary duties required of this position:
- Record and enter overtime/leave into SAP/ESS systems all absences for COTs, CO1s, and CO2s, using the daily Shift Rosters (or other tracking tools used by the specific department). Enter all appropriate walk time for COTs, CO1, CO2s using the walk time report generated from the established system (time clock system/biometric system).

-Properly code all FMLA absences as stated by employee or via approval notice from the FMLA office.

- Review Overtime (OTJ) Tracking forms which are received daily from the Shift Commander/Lieutenant.

- Enter exchanges as per the roster and substitutions as necessary for temporary work schedules.

- Monitor, analyze, and track payroll records from the Shift Rosters for COTs, CO1s, and CO2s absence/leave. This is needed so that the transactions can be completed to ensure the officer is not receiving more leave than what he/she is entitled too.

- Run reports through the SAP system on a daily basis to correct or verify system findings.
- This includes but is not limited to, the 670 Report, 598 Report and 599 Report.

- Analyze payroll records, time and attendance histories, absences histories, etc., to resolve and explain individual case questions or discrepancies to staff members.

- Informs the Time Advisor of any and all employees on Leave without Pay (LWOP) so that the absences and length of the LWOP can be tracked and monitored.

- Serves as back-up to the other Clerical Assistant 3 in the region and assist as needed.

- Assists with all clerical duties as needed.

- Performs all duties assigned by Immediate Supervisor and/or FHRO.

The ability to analyze and interpret union contract wording to ensure proper payment of wages to include: holiday, shift differential, and entitlement of overtime and at what value. Research payroll problems in response to inquiries.
