To process all Time and Attendance activities and functions for employees of Driver and Vehicle Services in an accurate and timely fashion. This includes payroll processing functions, assisting with time and attendance issues, conducting in processing and out processing of employees and performing other basic clerical duties assigned. |
Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. To establish and maintain the security required to ensure the confidentiality of all data and information that is part of the daily functions in Driver and Vehicle Services Time and Attendance Unit. Type documents relative to new employee Time and Attendance transactions. Assists in the planning, direction, coordination and activities required to administer the time and attendance functions within Driver and Vehicles in an accurate and timely fashion. This includes being in direct contact with employees of Driver and Vehicle Services in order to ensure all transaction are correct and approved. Participate in the leadership of the Time and Attendance Unit. Complete regular assignments and special assignments with uncompromising pride and customer service. Provide accurate, timely Human Resource service to internal and external customers of Driver and Vehicle Services Deputate. Maintain the highest level of confidentiality in all aspects of Human Resources functions including all communications and in the security of all confidential information in your work area. Attend training and demonstrate ability to become a single point of contact for Driver and Vehicle Services employees on Human Resource issues. Identify issues, provide solutions and participate in the workshops to provide Human Resource process and customer service improvements. Sets an example for all of Driver and Vehicle Services employees with regard to policy, procedures and working rules. Performs a variety of technical duties associated with payroll in the SAP Personnel/Payroll System for those employees assigned to the Driver and Vehicle Services Deputate. Provides payroll information to all Driver and Vehicle Services supervisors and managers for their employees terminating their employment with Driver and Vehicle Services. Schedules through the supervisor in processing of employees who are assigned to Driver and Vehicle Services processes and reviews benefits with the employees. Researches and verifies prior service history for new employees and re-hires. Conduct training on processing of payrolls for those managers, supervisors and employees within Driver and Vehicle Services when requested. When problems are found research, correct errors, provide analysis and process improvements to resolve pay problems. Research and answer supervisor inquiries for employees regarding payroll, benefits, leave and any other discrepancies. Follows laws, policies and procedures for managers, supervisors, for human resource questions within Driver and Vehicle Services. Interprets computer reports and computer screens to determine whether errors are system errors or input errors. Performs a variety of technical duties associated with several program areas including but not limited to personnel transactions in SAP. Controls leave transaction activities for input of personnel/payroll transactions through the use of the SAP system. Processing forms and correspondence for personnel transactions. Input payroll data and transactions SAP for new leave appointees, overtime, leave adjustments, reports overtime, attendance and sick leave. Input all payrolls within a two day turnaround time when there is a holiday and one day turnaround time when no holiday falls within a two week period, in order that the employees are paid in a timely fashion. Prepare documents when called upon for a scheduled Bureau Audit. Tracking and preparing justification when payroll advises us that an employee has been over or under paid. Provide analysis ,options and process improvements regarding the over or underpayment issues. Monitors adjustments and processes records of leave for all Driver and Vehicle Services Deputate employees. Includes adjustments for excessive leave. Processes paperwork to ensure prompt pay for wage employees and complete the proper forms when Driver and Vehicle Services terminates their employment through the use of the security matrix that was developed for the Office of Information Fiscal Systems. Maintain payroll records for a period of 7 years for audit by the Infrastructure and Economic Development HR Delivery Center and explanation of any payroll transactions upon request for all of Driver and Vehicle Services. Research and report to the Manager any incorrect pay in SAP processing proper paperwork and SAP transactions to produce a check for the correct time. Acts as contact person between the Infrastructure and Economic Development HR Delivery Center and individual supervisor/employees to schedule meetings to change payroll deductions, dependant, etc. Calculates, researches and verifies all leave without pay and the impact it will have on the employee's annual, sick leave, seniority, and retirement, as well as their pay status. Audit of payrolls. Research and calculation of time for supervisors on those problem employees. This is completed with no supervision. Researches and processes necessary documentation in order to correct an employee's service credit. Compiles reports for Driver and Vehicle Services Deputate as required. Works closely and independently with all supervisors within Driver and Vehicle Services Deputate. Maintains confidentiality of all Official Personal History Files as well as confidentiality of all actions that occur within the Driver and Vehicle Services Deputate's Human Resource Unit. In processes all employees who are assigned to Driver and Vehicle Services. Processes all transactions and reviews benefits with the employees within 3 working days. Comply with Driver and Vehicle Services' Customer Service Policy and established 3 day turn-around-time on all communications from customers/employees. Performs other related duties as required. Attend required safety training and adhere to the requirements of all safety manuals, policies, and laws. 3. Immediately report to your supervisor any incident, unsafe practice, or near miss. 4. When in an enclosed environment (office buildings, confined spaces, flagger stations, equipment pinch points, etc.), know your evacuation process and escape route, your communication protocols, and appropriately react in the event of an incident. |
