Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Serves as the district receptionist and provides clerical support to the district safety coordinator and ADE of Maintenance. Completes daily news links and birthday letters for the district in addition to other general office functions.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Serves as District Office receptionist presenting a professional environment for District Office. Greets visitors; announces arrivals to office, or directs visitors to unit, as requested. In this capacity, answers calls, take messages, provide information to the customer, or if needed, forward caller to an individual who can provide the requested information.

Distribute incoming and outgoing mail promptly to the proper units. Maintain records when receiving packages and mail from FedEx, UPS, Central Office Mail or any other package handlers. Prepare night time mail for delivery to the Post Office, assuring that letters and mailing have proper postage and addresses.

Have knowledge of units and their personnel in order to correctly transfer telephone calls to the proper employee. Use courteous, clear voice when receiving and transferring telephone calls.
Performs a variety of clerical and typing duties associated in support of the safety coordinator position and ADE of Maintenance. Also assists with miscellaneous tasks and projects for supervisors and managers in the maintenance unit.

Work and communicate with counties to develop accident data collection for fleet and personal injury packets. Proof and provide corrections to accident/injury packets submitted by the counties and district. Monitor and track completion of injury/accident packet reviews.
Maintain accident data and statistics and input accident data into the Accident Tracking System. Assemble monthly reports for accident and injury data. Participate in safety committee meeting and provide meeting minutes.
Serve as backup for district maintenance unit for travel arranger and M805 input.
Serve as the primary reviewer of the news links and route them accordingly.
Inputs Customer Care Center (CCC) concerns received through the maintenance unit.
Proficient in the use of a Personal Computer and Microsoft application. Use District letter and form templates. Type confidential information including but not limited to Employee Performance Ratings, disciplinary actions, and other information. Proofreads varying types of materials to ensure that information is grammatically correct, complete, consistent, and adheres to agency rules and regulations.

Overtime may be required.

Performs other related duties as required.

May be required to serve as back-up to the Administrative Assistant.

Be able to communicate both orally and in writing to issue, receive, and carry out instruction and orders effectively and to convey information to a variety of co-workers and the general public.

Safety

Immediately report to your supervisor any incident, unsafe practice, or near miss.
When in an enclosed environment (office buildings, confined spaces, flagger stations, equipment pinch points, etc.), know your evacuation process and escape route, your communication protocols, and appropriately react in the event of an incident.

Workforce Development
Take an active role in succession planning by completing a Career Development Plan in collaboration with the supervisor. In conjunction with the supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with other employees.

EMP/PennDOT Green Plan Policy:
Recognizing that everyone is involved in the District's and County's actions to demonstrate sound environmental practices, each employee fulfills the maintenance unit business plan objectives related to the Strategic Environmental Management Program (SEMP).
Commit to following the Department's Green Plan Policy (Pub 712) and the associated principles. Failure to comply with the Department Green Plan policy shall be documented in employee's performance review.

Fair Labor Standards Act (FLSA):
Unless directed otherwise by your supervisor or manager, comply with stated work hours for the 7.5 hour day.

Work and priorities are assigned to this position by the Assistant District Executive for Maintenance. This position also supports the district safety coordinator and district receptionist for the front desk. Able to answer basic level questions related to District Operations and/or direct such questions to the appropriate responsible individual.

Essential Functions

 1. Work in office environment. Although infrequent, periods of heavy exertion may occur.
 2. Use personal computers, demonstrate both hand & finger dexterity and be able to sit for extended periods.

 5. Read & understand manuals, letter, reports & memos in order to type or proofread for errors.
