Position Purpose:

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Answers telephones, handles the calls or routes to the proper personnel. Handles incoming loss run request from policy holders.

Power Comp is utilized for the purpose of answering routine phone requests for information. Locating file numbers and unit numbers on medical bills and daily correspondence and locating the proper adjustor for proper mail distribution.

Incoming mail is picked up at the Post Office and is then sorted, opened, date stamped and distributed accordingly. Outgoing mail is sorted, weighed and ran through the postage meter or if it is certified mail it is taken to the post office. Regular outgoing mail in taken to the mailbox at the end of the day. Over night mail packages are prepared daily to be sent to the Home office via UPS.
Handles adding postage to the postage meter and keeps the mail room in proper running order.

Copies necessary medical reports or pending claims for the adjustors review
Copies legal correspondence
Video conference operations
Monitors supply inventory and prepares supply order, makes sure supply room is stocked and neat
Handles incoming water deliveries
Responsible for returning used toner cartridges
Receives incoming faxes and routes them to the correct office personnel
Any duties assigned by the Clerical Supervisor and/or Manager

Responsible for preparing all office memos and personal/confidential letters, etc. for the District Manager and all other supervisory personnel and Investigators upon request.

Responsible for all personnel actions for office as contact person with Human Resources. This includes new hires, transfers, separations and supervisory changes. PAR user for the office to input requests to fill, selected candidate and reallocation requests.

Back up Timekeeper for the office. Responsibilities include calculating overtime, maintaining timekeeper records for personnel and alerting supervisors to any discrepancies with personnel time accrual or usage. Duty also requires processing End Of Year Leave, checks and balances and restitution when necessary. Records and monitors leave balances, process employees separation to Human Resources, inputs temporary employee time cards, prepare weekly reports on time usage. Prepare end-of-year timekeeping records. Record and maintain employee records in a secure area.

Serves as facilitator of ESS Time Entry and Data Display and EB Pro Requisitioner for office. Tracks supplies and orders same as necessary.

Types all on-line position descriptions.

Serves as liaison with Home Office Personnel to ensure work is processed according to SWIF procedures.

Handles all inter-office contacts with various outside business vendors (telephone, fax machines, copiers, etc.) for the District Office. Coordinates all repairs, replacement of any office equipment between Scranton Home Office, District Office and vendor.

Compiles all weekly figures (new assignments, completed assignments, etc.) and completes weekly accomplishment report for District Office Manager, Director and Field Operations Manager.

Process security authorization request forms.

Types memos and maintains databases in regards to human resources and leave issues.
Must maintain confidentiality.

Performs other clerical duties as requested or required to maintain an efficient District Office operation.

Routing of faxes, incoming mail and phone calls. When necessary to replenish the postage meter and also replenish supplies.

The clerk typist 3 determines leave balances and notifies supervisors of their staff's negative leave balance and at what rate leave time is accumulated. Review claims to determine information is omitted and/or needed to be confirmed by the policyholders. Researches human resource issues.
