Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Creates and analyzes reports such as Inventory on Hand, Material Doc List, and Purchase Order by Material to pull seasonal and yearly usage of consumable and Inventoried items and provide usage and cost numbers to Roadway Programs Coordinator to assist with yearly budgetary expenditures and purchase order needs. Assists in reviewing and analyzing data from the Systems, Applications, and Products (SAP) Plant Maintenance and Roadway Management Systems to ensure program goals are achieved and overall systems control is maintained Utilizes notification lists from SAP to review planned work activity. Responsible for monitoring storeroom inventory to ensure appropriate levels of supplies and materials are available to meet planned work activity. Conducts periodic reconciliations by comparing material master data and plant inventory balances with actual materials located in the designated pipe yard storage area. Identifies discrepancies between SAP inventory reports and on-site counts, investigates potential causes such as improper goods issues or receipt entries, and works with RPC to resolve errors which ensures inventory adjustments are processed accurately in SAP to reflect true material availability. Supports audit readiness, operational planning, and compliance with inventory control standards as outlined in Department policy. Responsible for receiving Segment Change notifications in the Segment Change Management System (SCMS) and updating the changes in the Snow Route Mapping system. Works with Assistant County Managers updating and preparing snow route templates by November 1st to ensure that County snow maps can be accurately created. Performs inventory checks on stocked items when necessary. If discrepancies occur, work with District Office by running and analyzing inventory usage reports to assist with reconciling the issue. Prepares and monitors AO reports for Inventory Turnover and Zero Usage to see inventoried items that the county is no longer using and works with District Materials Coordinator to advertise for Surplus and transfer items that are no longer used by the county. Reviews and monitors work data information to ensure compliance with Maintenance Accreditation Performance Index (MAPI) measures and makes recommendations as to how the organization can improve. This includes running and analyzing the Inventory Value per 12FT lane Mile report monthly to properly ensure that high dollar value items are charged out correctly by foreman on their payrolls and running and analyzing the Inventory Turnover report monthly to ensure Foreman are correctly charging out the correct items on their payrolls for the work they are performing daily. Monthly analyzation of this report also assists with future planning and budgetary needs. Reviews and monitors work data information from PDIF to calculate and show the RPC material ordering trends and usage trends and makes recommendations as to how the organization can improve on inventory control. Assists in the management of the materials component of the SAP Plant Maintenance and Supplier Relationship Management (SRM) Systems for the county. Aids in directing the purchase, receipt, storage and issuing of all bulk materials and garage storeroom items to ensure the availability of resources, as well as the efficient and effective use of resources. Reviews the Plant Maintenance MD15 transaction daily to identify potential low stock inventoried items. Confirms the need for inventory replenishment and converts planned orders to requisitions to be reviewed and approved by the RPC. For planned orders that do not need replenished, this position will submit those items to the RPC for maintenance and/or deletion of the material master file. Responsible for monitoring storeroom inventory and SP 01 pipe yard inventory maintained in the system for material matches and actual inventory on hand. Assists in overseeing the establishment and maintenance of inventory records in accordance with Department Policy and ensures that various methods of inventory control are employed and adhered to. Accepts UPS, FedEx, District Pony Truck, and various other deliveries. Once received, enters information into system and stocks items in the storeroom. This may require the use of a forklift. Certification of forklift will be required within probationary period. Responsible for storeroom functions which include, preparing purchase requests for storeroom supplies, receiving, storing, and distributing parts and supplies, and performing storeroom inventory functions. Responsible for creating Shopping Carts for Punch out catalog and Warehouse items. Will utilize eMarketplace to locate and review contracts to determine if items are on contract and know where to request the items from for purchase. Assists in overseeing the establishment and maintenance of inventory records in accordance with Department Policy and ensures that various methods of inventory control are employed and adhered to. Completes goods receipt entries in SAP and SRM for various items received in the storeroom. Maintains a reasonable stock level of consumable and inventoried items for the garage and field employees. Items include but are not limited to shovels, rakes, brooms, safety vests, hard hats, gloves, safety chaps, roadway flares, filters, rubber hoses, tubing wire, fasteners, plow parts, spreader parts, paints, lubricants, cleaning, and paper products. Maintains accurate inventory in SAP R3. Ensures requisitions are entered for materials that need procured. Ensures stock items are issued out in SAP before they are distributed from storeroom. Responsible for going in and updating/resetting reorder points in SAP for inventoried items. Assists the RPC and CEM with researching and writing equipment specifications for rented equipment contracts and purchase orders. Assists as backup to generating County Wide map(s) via Maintenance IQ to be used by the RPC and AHMM for long term planning, short term planning, and cyclical maintenance as required by MAPI for scoring purposes. Imports and exports data sheets from Maintenance IQ to verify if work is being completed or not. This position is required to cover winter shift work in the storeroom and must be available for overtime needs. Performs related duties as assigned. Safety: 1. Succession Planning: Take an active role in succession planning by completing a Career Development Plan in collaboration with the supervisor. In conjunction with the supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with other employees. Department Green Plan Policy: Commit to following the Department’s Green Plan Policy (Pub 712) and the associated principles. Failure to comply with the Department’s Green Plan Policy shall be documented in the employee’s performance review. Fair Labor Standards Act: Unless directed otherwise by your supervisor or manager, comply with stated work hours for the 7.5/8.0-hour day. |
