Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position is responsible for various administrative and clerical duties for the Risk Management Office (RMO). This position is responsible for providing timely, and quality customer service to customers on the phone, research driver license and motor vehicle records, and track and log all correspondence sent to the RMO in an independent manner. Emphasis on confidentiality with all forms of communication. Review and assign priority work for Executive Correspondence (ECP) and Legislative Constituent Support Services (CSS) through emails or hand-delivered work.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Independently handles telephone calls from customers requesting assistance from the Risk Management Office, this also includes other Commonwealth agencies, law enforcement agencies, and Legislative office. Provides timely, and quality customer service to customers, research driver license and motor vehicle records, and track and log all correspondence sent to the RMO. Responsible for handling customer communications of all notepads within established guidelines and timeframes.

Responsible for various administrative and clerical duties for the Risk Management Office (RMO) to include ordering supplies, organizing meetings, retrieving fulfilled orders at the ROC Dock, and picking up or delivering items to staff within the building.

Receive, open, track and log all mail received and deliver to RMO staff.

Type customer correspondence and mail items at the request of RMO leadership.

Independently reviews, driver records and motor vehicle transaction, while researching to ensure proper data entry on to the RMO log. Responsible for identifying and ensuring any errors found are appropriately resolved.

Prepares and completes expense reports for the Risk Management Office.

Required to work when a full-day and/or partial-day office closing is authorized. To include but not limited to: early dismissals for inclement weather; the day before holidays; special holiday closings. This will include; answering the RMO main phone line, assigning CODE 1 and priority work notepads.

Safety:

3. Immediately report to your supervisor any incident, unsafe practice, or near miss.
4. When in an enclosed environment (office buildings, confined spaces, flagger stations, equipment pinch points, etc.), know your evacuation process and escape route, your communication protocols, and appropriately react in the event of an incident.

Perform all other duties related to the essential functions and success of the RMO.

Example: In response to a customer inquiry, this work involves researching the status of an activity and preparing a formal response for the supervisor’s signature.

This position is responsible for answering phone calls from customers requesting assistance from the Risk Management Office. Providing timely, and quality customer service to customers, research driver license and motor vehicle records, and track and log all correspondence sent to the RMO in an independent manner.

Essential Functions
