Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Assists in analyzing work plans to ensure that the labor, materials, equipment, and funds necessary to complete work plans are available. Assists in completing adjustments to work plans as required. Assists in monitoring maintenance operations in the field to ensure the applications of approved maintenance standards and in completing field studies to gather data from various maintenance operations for the development of work standards and continuation of county operations. Based on field inspection findings, responsible for creating, developing and maintaining Gantt chart to schedule and track sectional cyclical maintenance and activities to ensure county planning goals and objectives are met. Assists with reporting and analysis of snow routes for state trucks and rented equipment to assist with determination for number of trucks needed based on area and miles of roadway ensuring the most efficient equipment utilization. Distributes snow books to neighboring counties and create detailed maps for winter operations, ensuring full coverage of all state roads for operators and contractors. Responsible for monitoring straight line books for any changes to snow areas or snow routes, fixing gaps, overlaps, updating and changes in equipment and or miles, including 42 department force trucks, 83 rental trucks, and municipal agreements. Will monitor department trucks and crew cabs to create reports daily by using the Automated Vehicle Locator (AVL) system and create weekly and monthly reports for vehicle idling. Cross-reference payroll data and M-614 forms to create weekly usage Analysis of Office (AO) Report. Enter roadway mileage data into SAP and resolve any discrepancies identified in the monthly HPG/MPG reports. Process and reconcile garage payroll entries, ensuring accuracy and timely submission. Review daily operator M-614 sheets and generate repair notifications for the garage to address equipment issues. Responsible for printing and entering roadway inventories into SAP, ensuring accuracy and completeness of data. Organize and maintain daily M-614 and M-824 forms, ensuring compliance with agency record retention policies. Track and file fuel receipts for the monthly WEX report, assign receipts to the appropriate operator sheets, and address any discrepancies or missing documentation. Process check payments for multiple utility services and handle reimbursements for personnel, ensuring timely and accurate financial transactions. Monitor submitted invoices, identify and resolve discrepancies by coordinating with vendors, foremen, or payroll, and ensure correct documentation for payments. Track, monitor, and file bulk and daily material tickets for various materials (e.g., 9.5mm, 19mm, R4, R6, 2A, 2B, sand), cross-referencing total quantities against highway payroll records to prevent invoice rejections. Assist in processing and documenting equipment accidents by gathering relevant reports and ensuring proper procedures are followed for reporting and resolution. Support the preparation and processing of auction-related paperwork, ensuring all required documentation is accurate, complete, and submitted in accordance with agency guidelines. Assist in tracking, updating, and maintaining perishable data to ensure accuracy and compliance with reporting standards. Support physical inventory counts within SAP by verifying stock levels, reconciling discrepancies, and ensuring accurate recordkeeping. Assist in managing Roadway Accident Reports by compiling data, ensuring accurate documentation, and coordinating with relevant departments for timely processing. Assist in processing reimbursements for roadway accident-related expenses, ensuring accurate documentation and timely submission to appropriate parties. Support the processing of TORT claims by gathering relevant information, coordinating with internal departments, and ensuring proper documentation for damage assessments. Assist in compiling and analyzing data for dashboard reports, ensuring accurate and up-to-date information is presented for decision-making. Performs related duties as assigned. Safety: 1. Succession Planning: Take an active role in succession planning by completing a Career Development Plan in collaboration with the supervisor. In conjunction with the supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with other employees. Department Green Plan Policy: Commit to following the Department’s Green Plan Policy (Pub 712) and the associated principles. Failure to comply with the Department’s Green Plan Policy shall be documented in the employee’s performance review. Fair Labor Standards Act: Unless directed otherwise by your supervisor or manager, comply with stated work hours for the 7.5/8.0-hour day. |
