Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Administrative Support •Performs clerical duties in support of the Divisions’ operations that includes maintaining paper and electronic files; gathering, organizing, and presenting data; formatting and typing reports; photocopying; scanning; answering phone and assisting callers. •Monitors and maintains email resource accounts. Conducts research and reviews relevant policy to answer general inquiries or forwards more complex issues to the appropriate analyst for response. Logs grievances, appeals, employee arrests, and disciplinary actions in the Employee Relations database. Forwards disciplinary action requests, grievances, separation notices, and FMLA notices to the appropriate analyst. •Sends copies of disciplinary letters to appropriate individuals or resource accounts. •Submits ePARs to extend employee probationary periods. •Reviews and submits Temporary Clerical Pool Work Assignment requests for client agencies. Tracks work order requests as a liaison between ATS and client agencies. •Manages/maintains the ServiceNow requests for role management. •Manages/maintains the Annuitant process. •Maintains Civil Service Leave of Absence requests and renewals for client agencies. •Utilizes a full range of HR data elements, including those used to identify and describe commonwealth positions, organizations, employees, personnel actions, absences, attendances, etc. Reporting •Develops, generates standard reports using various ad hoc reporting systems and tools. •Generates and distributes routine and ad hoc reports for client agencies. •Prepares quarterly reports of grievance activity, disciplinary actions, and arrest cases for the division’s management team. •Maintains spreadsheet to track and purge disciplinary actions from employee OPFs at the appropriate times •Obtains preliminary information such as copies of criminal docket sheets, charging documents, and court records related to employee arrests and forwards to the appropriate analyst. •Prepares quarterly reports of grievance activity, disciplinary actions, and arrest cases for the division’s management team. •Adds arbitration awards, docket sheets, and minutes from grievance committees to shared drive. Serves as a second Point-of-Contact for the agency’s Corporate Card Program. Reviews employee usage to determine compliance with established Commonwealth and Department policy. Forwards information to the appropriate analyst for investigation when needed. Serves as the agency’s point of contact for nominations for the Governor’s Awards for Excellence. Reviews eOPF for nominated employees to ensure the candidate meets eligibility requirements. Completes special projects as assigned Performs other duties as required. |
