Position Purpose: Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. -Personal Secretary to the Director of the Western Regional Office temporarily in Pittsburgh, will be relocating to Butler and lead clerical person for the entire office. -Performs complex clerical functions in the Regional Office regarding child protective services. -Performs a variety of complex clerical duties regarding child near fatality and fatality reviews. -Performs duties regarding office equipment such as cellular telephones and office furniture. -Performs other clerical duties pertaining to the remaining functions of the regional office as necessary. |

Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. 1. Independently maintains child near fatality and fatality log at specified intervals, notifies staff of upcoming and overdue reports and assures that all actions required by the child near fatality and fatality bulletin have occurred. 2. Receives incoming calls, emails, and requests and triages each based upon the nature of the call and the immediacy of needed action. Routes calls to various staff to address based upon individual bandwidth, availability, nature of the call, immediacy of action, and other factors that are required to balance out workloads and routes assignments in the most efficient, judicious, and fair manner. 2. Independently reviews delegated work for accuracy and completeness. 3. Independently determines office furniture needs and, when approved for purchase, researches vendors, selects furniture and places appropriate orders. Ordering and maintaining office supplies. 4. Independently conducts research regarding new acquisitions such as cellular telephones, obtains quotes and recommends vendors when approved places orders. 5. Independently reviews all incoming and outgoing correspondence regarding child abuse issues and any other assigned issues to route appropriately and review for accuracy and completeness. 6. Independently composes correspondence regarding routine issues related to child abuse and licensing functions for self-signature or for supervisory or regional director signature. 7. Establishes and maintains appropriate logs related to child abuse functions and instructs program staff on their use and maintenance, also sends out correspondence. 8. Manages child abuse expungement function. 9. Types material submitted by staff when needed. 10. Sends and receives electronic and fax mail. 11. Handles incoming telephone calls, screens and assigns calls, provides information and referral, takes and transmits messages and handles calls independently where possible and appropriate. 12. Greets visitors and directs them appropriately. 13. Schedules and coordinates conference rooms and conference calls for staff, supervisors and director as requested. 14. Inputs information related to complaints and child abuse referrals into CWIS. 15. Filing all licensing, CPS packets, NF/F packets, and all other related paperwork duties. 16. Onboard new staff to office functions and practice. 17. Participates in training as required. 18. Serves on committees and workgroups as needed. 19. maintains record to track licensing, child abuse reports and inputs complaint data. 20. Prepares, maintains and monitors licensing process. |
