Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Provides moderately complex clerical duties in the Venango County Maintenance office involving typing and processing of documents.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Employee will serve as the receptionist by greeting customers in person, by telephone and directing their inquiries to the appropriate staff. Relays employee messages to field employees prior to the end of their shift.

Sorts, dates, stamps, and distributes incoming mail. Affixes postage to outgoing mail and places in the mailbox for Post Office pick-up. Distributes faxes and print jobs to appropriate person.

Employee works directly with the County Manager and the Clerical Supervisor to organize and schedule county events, meetings and trainings.

Employee is responsible for the performance of all functions relating to the workforce within the Venango County Maintenance office including but not limited to coordination, scheduling and minutes of the Foremen, Safety Committee, and other required meetings.

This position is responsible for all PPIM, OA Directives and Management Directives requiring signatures by all employees.

This position will also coordinate with the EPR Coordinator to distribute and follow up on completion of Quarterly Reviews.

This position is responsible for creating and updating Position Descriptions.

Back-up for entering Winter 520B forms (Taper Logs).

This position will be the gatekeeper for all electronic files to include scanning documents to the network.

This position will maintain all bulletin boards and posting binders in the county and ensure that they are up to date.

This position ensures that all files are maintained within the Records Retention guidelines, prepares stale dated records for shipment to appropriate storage location.

Back-up Workman’s Comp Service Representative, includes preparing accident and injury packets, assisting employees and supervisors with completion of reports, inputting into ESS and ATS, and prepares required letters and other documents. Sends report to District Safety Officer each Friday of all previous weeks’ injuries/treatment. Maintains a supply of Injury Packets.

Back-up Safety Glasses Representative – Prepares paperwork via Essilor’s website for employees as requested, every two years’ minimum; submits invoices and completed OS-532 to RPT-1 for payment.

Back-up County Travel Arranger. This work involves making travel arrangements and processing travel vouchers for payment for the county workforce.

Performs other duties as assigned.

Maintains clean, well-organized work area conductive to a safe and efficient work operation.

Follows proper attendance, call off and leave scheduling procedures, adheres to start/stop times, breaks, and meal periods; makes effective use of time and facilities to minimize nonproductive and down time.

Recognizing that everyone is involved in the District’s and County’s actions to demonstrate sound environmental practices, each employee fulfills the maintenance unit business plan objectives related to the Strategic Environmental Management Program (SEMP).

Succession Planning:
Take an active role in succession planning by completing a Career Development Plan in collaboration with your supervisor. In conjunction with your supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with other employees.

Department Green Plan Policy:
Commit to following the Department's Green Plan Policy (Pub 712) and the associated principles. Failure to comply with the Department's Green Plan Policy shall be documented in the employee's performance review.

Fair Labor Standards Act:
Unless directed otherwise by your supervisor or manager, comply with stated work hours for the 7.5/8.0-hour day.
