Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Receive incoming phone calls including requests for urgent and emergency work. This would include dispatching EOA’s as necessary. Initiate phone orders for emergency work and submits requests for processing. Perform clerical work as instructed or directed for all maintenance departments. Communicate and act as liaison between management, supervisor and various departments in routine matters involving work scheduling, priorities, and the work order system as well as other general information to promote good relationships and enhance the efficiency of the maintenance departments. Compose and write letters and correspondence. Maintain transportation and housekeeping logs and schedules, mileage sheets repair invoices, daily transport schedule, driver schedules, housekeeping schedules, shopping carts and tracking for both transportation and housekeeping, maintain in-service logs, and cover office when supervisor is out of office. Perform internal and external requests for supplies and equipment for maintenance departments. Procure all necessary items, equipment, and tools necessary for daily operation in transportation and housekeeping. Works with State Contract vendors, contacts vendors for repair work, schedules initial project meetings, enters shopping carts for procurement, proofreads and makes corrections to SOW written for contracts. Enters Goods receipt. Establish and maintain records filing. Initiate work orders and maintain a comprehensive preventative maintenance system per established policy & procedure. Keep necessary records of the static of completion of preventive Maintenance work, as needed. Maintain an equipment record and information file for all installed equipment, machinery, and tools. Prepare files for new equipment and initiate correspondence required to obtain complete information required for proper maintenance of the equipment for transportation and housekeeping. Maintain a current listing and information required for purchase of Capital Equipment and records of purchase and receipt. Maintain a filing system of purchase requests received by dates and categories of material involved. Initiate letter requests for price quotations and availability information for materials, equipment and repair parts, and inspections as directed. Obtain information from files and records including job orders received, completed, and pending, the repair type, and the project type. Maintain a listing of projects in progress and completed by the Maintenance Department and by contract, preventative maintenance work orders initiated, work orders completed, personnel overtime, and efficiency information, as needed. Maintain personnel files and information for the Maintenance Department Personnel including position descriptions, performance evaluations, current addresses and telephone numbers, current chart of expected retirement dates, overtime equalization records, disciplinary records, accident reports and other pertinent information. Maintain and keep current the official department bulletin board. Maintains assigned work area in a clean, sanitary manner. Support the facility QAPI efforts by attending all assigned QAPI training; following established policies and procedures in support of QAPI efforts; participate in PIP teams as assigned; sharing ideas for improvement in the organization; and supporting QAPI efforts both verbally and non-verbally, including adjusting performance and practice in accordance with QAPI initiatives and findings. Performs work in accordance with the DMVA general safety rules and safety rules for this position. Immediately reports all workplace injuries or incidents to the supervisor; and/or immediately corrects any safety hazards in the area or reports same to supervisor. Use personal protective equipment when required such as gloves, masks, face shield, etc. Act as backup to Maintenance Clerical Assistant 2. Perform all other related duties as assigned. |
