Position Purpose: Describe the primary purpose of this position and how it contributes to the organization’s objectives. The incumbent works in the Plans Room to prepare highway and bridge plans, manages mass reproduction of design plans and drawings for District 10-0. Organizes, maintains, and recalls an inventory of plan sets, right-of-way records, and other related documents. |

Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Processes requests for reproductions of plans and drawings in a timely manner. Seeks prioritization of such requests when applicable. Manages and maintains files of all existing right-of-way, construction and other types of plan sets and drawings. File management also includes the maintenance of cross-referencing systems to assist in the location of a particular plan or drawing. Develops and maintains an inventory system for Right-of-Way dedication plans. Prepares accurate invoices to bill external customers making requests for plans or drawings when such requests are not associated with a department project or a direct interest to the traveling public. Provides timely and professional customer service when responding to both internal and external requests for plans and drawings. Maintains a working knowledge of the reproduction equipment care and functions and reports any malfunctions and takes appropriate action to arrange for repairs or routine maintenance. Assists Grade Crossing Engineer/Administrator on railroad documentation, information gathering, updating information and pictures in the Grade Crossing Electronic Document Management System (GCEDMS) and other various tasks. Assists processing of applications, grants, contracts, and plans. Recognizing that everyone is involved in the District’s and County’s actions to demonstrate sound environmental practices, each employee fulfills the maintenance unit business plan objectives related to the Strategic Environmental Management Program (SEMP). Performs other duties as required. Safety: 1. Assess your environment and be responsible for your safety, the safety of co-workers, and the public. 2. Attend required safety training and adhere to the requirements of all safety manuals, policies, and laws. 3. Immediately report to your supervisor any incident, unsafe practice, or near miss. 4. When in an enclosed environment (office buildings, confined spaces, flagger stations, equipment pinch points, etc.), know your evacuation process and escape route, your communication protocols, and appropriately react in the event of an incident. Succession Planning: Take an active role in succession planning by completing a Career Development Plan in collaboration with the supervisor. In conjunction with the supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with other employees. Fair Labor Standards Act: Unless directed otherwise by your supervisor or manager, comply with stated work hours for the 7.5/8.0-hour day. |

Works with minimal supervision and makes decisions as to right-of-way requests, plans room, and plan archiving. Employee refers more complex and unusual issues to the technical supervisor who also reviews work for completeness, accuracy and adherence to established technical and performance standards. Independent Work • Complete right-of-way requests using all available information. (RMS, archived plans, road dockets, court houses, etc.) • Maintain the print room and all necessary equipment and software to provide and record information from plans current and old. • Use of excel, IROW, RMS, or other programs to organize right-of-way and construction plans for fast and accurate recall. • Maintaining and monitoring supplies needed for the print room and other printers throughout the district office. • Prompted and unprompted stocking of supply cabinets for the print room and other printer locations throughout the district office. • Printing and scanning jobs both small and large, as needed. • Completion of well-defined tasks with minimal supervisory oversight. |
