Position Purpose:

As part of the Department of General Service’s (DGS) Bureau of Real Estate’s Division of Real Estate Services (DORES) team, this position supports DGS’ mission to help government operate more efficiently, effectively and safely in order to deliver exceptional value for all Pennsylvanians. Through coordination and collaboration across agencies with an understanding of LEAN principles, this position helps provide our agency customers with efficient, operational space, all while serving as a responsible steward of taxpayer dollars.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

The employee in this position serves as a subject matter expert in space and furniture planning, and coordination of office relocations for all Commonwealth agencies.

Serves as a support project coordinator on the space management team for projects in DGS managed space. Coordinates with the BRE Space Managers, Bureau of Facilities Management and other personnel when renovations are needed to the space. Supports all phases of renovation work, furniture design and installation, including finish selections, furniture, fixtures, equipment, budgetary concerns, cost estimating of carpet, paint and voice/date/electric for all Commonwealth agencies.

Utilizes the Commonwealth’s enterprise real estate portfolio management system (TRIRIGA) to process and track all projects. Provides detailed reports, occupancy plans, employee headcounts and inventories of employees by agency, site, city, county, building, and floor utilizing TRIRIGA and as requested by primary project coordinator.

Responsible for gathering field survey information including space measurements, assessing existing conditions and making recommendations on the best utilization of space as requested by primary project coordinator.

Collaborates with the primary project coordinator to analyze the Commonwealth’s owned and leased property portfolio to determine possibilities for co-locations, consolidations and space reductions that may be available using shared resources; presents recommendations and plans for implementation to the Assistant Director.

Interface with furniture suppliers to incorporate furniture into drawings. Presents proposed furniture layout options to agencies in conjunction with primary project coordinator.

Maintains knowledge of standard lease specifications. Collaborates with the primary project coordinator, Leasing Division, Lessor and agency liaisons to ensure the specifications are aligned with the proposed scope of work. Visits existing and proposed sites to gather information from Lessors and/or agency staff to prepare plans considering present and proposed staffing, workflow and equipment needs.

Supports the primary project coordinator responsible for furniture and relocation projects in DGS managed space, Commonwealth owned or leased. Supports the primary project coordinator on design projects, as well as with agency liaisons and presents solutions to the Assistant Director Provides regular status updates and reports of relocation requests, as needed.

Conducts project reviews and reports occupancy related issues, requirements, challenges, and opportunities. Develops and carries out ongoing recommendations for cost saving and value-added contributions.

Maintains a basic understanding of the statewide furniture and move services contracts. Serves as a consultant with DGS Procurement on the development of related contracts.

Reads and interprets architectural drawings and/or construction documents.

Is familiar with Labor and Industry standards, ADA requirements, Life Safety Codes and Fire and Panic Regulations and ensures these are taken into consideration in the relocation of staff.

Performs other related duties as assigned.
