Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

The employee in this position serves as a team member in the Bureau of Fee for Service Programs within the Office of Long-Term Living (OLTL) that performs a variety of assignments with emphasis on Bureau operational support. The Bureau consists of two Divisions to include field staff that are located throughout the Commonwealth. This team member is also responsible for supporting Bureau operations being the point of contact covering the Bureau phone line that is responsible for routing a variety of time sensitive issues.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Answer the Bureau phone line and direct telephone inquiries to the correct staff for resolution in accordance with Bureau guidance.

Receive, process, deliver, sort, send and store mail received/delivered to OLTL Forum Place Building in support of office operations. Disseminate Bureau mail/correspondence received through various media to ensure accurate and efficient distribution to include shipping to various locations as needed.

Assist in ordering and maintaining office supplies for the Bureau.

Prepare and/or distribute written correspondence as needed in support of Bureau operations.

Independently prepare reporting on tasks assigned and/or completed as needed.

Maintain a complete, up-to-date, comprehensive filing system (paper and/or electronic) for Bureau records within office guidelines.

Establishes, maintains, and modifies tracking systems, spreadsheets, logs, reports by using various computer systems.

Participate in and support the Bureau staff in various meetings and trainings as required.

Attends meetings and participates in work groups on behalf of the Bureau and makes appropriate recommendations as needed. Disseminates information obtained at meetings and work groups to be shared with co-workers and management.

Maintains accurate records in support of Bureau operations to include but not limited to staff contact listings.

Schedule and coordinate meetings, appointments and travel arrangements for Bureau management and/or supervisors as needed.

Performs other related duties as assigned.

Example: In response to a customer inquiry, this work involves researching the status of an activity and preparing a formal response for the supervisor’s signature.

In consultation with Bureau management and supervisors works independently on assignments within designated timeframes.

Prioritizes work load daily.
