Position Purpose:

This position provides clerical support to the Admissions Coordinator at the Delaware Valley Veterans Home

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Performs data entry to complete admissions forms and distributes to required parties.
Copy admission paperwork and file in appropriate tabs in chart.

Assists the Admissions Coordinator in scheduling admissions, sending out announcements, making copies and distributing admission information to all individuals involved in the admission process following the scheduling of admission for potential residents.

Assist Admissions Coordinator in obtaining medical and financial records.
Assists the Admissions Coordinator in the preparation and completion of admissions paperwork in conjunction with residents, families, and/or responsible parties.
Verifies insurance eligibility.

Assists the Admissions Coordinator in conducting tours and marketing events for potential residents, families, and/or responsible parties as needed.

Assists prospective residents/families/responsible parties in completing the admissions paperwork ensuring compliance with DMVA policies.

Complete admission in the absence of Admissions Coordinator.

Notifies applicants of acceptance or rejection, schedules pre-admission visits, conducts tours of the facility, and greets new residents on the day of admission. Coordinates with nursing, dietary, activities, social services, pharmacy, and other departments any special needs new residents may have.

Obtain accurate medical insurance information by contacting Medicare IVR prior to a resident’s admission.

Input data to complete forms necessary for all admissions and distributes to required parties.

Provide monthly admission reports that track policies as they relate to the admission policy compliance (i.e. hospitalization days and smoking cessation programs for transfers and new residents.

Maintains relevant applicant data within the electronic medical record. Assists with organizing and maintaining a resource library for the Admissions Department.
Take new admission/resident pictures and distribute.
Print applications and create files.

Responds to requests both verbally and in writing to interested individuals and community groups regarding the admissions criteria and application process.

Compiles, mails, and prints admission applications. Maintains adequate supplies of admission and informational packets, applications and other documents necessary for admissions; documents received information for pre-admission.

Answers telephones, sends faxes, returns calls, delivers messages and maintains an information log.

Take notes for various meetings and keep records of all meetings.

Scan, file and upload documents into appropriate location.

Enters initial resident information into Matrixcare, composes and responds to routine correspondence, and coordinates interoffice mail for the Admissions Department.

Orders office supplies, makes copies, gathers documents, files, and shreds documents per established procedures.

Makes travel arrangements for the Admissions Coordinator.

Prepares forms for out-service training approvals and registrations.

Types a variety of documents and correspondence in draft and final form. Proofreads for accuracy and proper grammar.

Distributes completed documents through interoffice mail or postal service.

Participates in mandatory in-service training and attends other continuing education seminars to improve skills and knowledge base.

Support the facility QAPI efforts by attending all assigned QAPI training; following established policies and procedures in support of QAPI efforts; participate in PIP teams as assigned; sharing ideas for improvement in the organization; and supporting QAPI efforts both verbally and non-verbally, including adjusting performance and practice in accordance with QAPI initiatives and findings.

Performs work in accordance with the DMVA general safety rules and safety rules for this position. Immediately reports all workplace injuries or incidents to the supervisor; and/or immediately corrects any safety hazards in the work area or reports same to supervisor.

Performs other related duties as required.

Use personal protective equipment when required such as gloves, masks, face shield, etc.
