Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Covers the Front Desk of District 6-0 and provides clerical and office support to the Senior Highway Maintenance Manager and the Maintenance/Safety unit, ensuring prompt, courteous, accurate customer service, improving internal and external communications.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Responsible for split operation of the main switchboard by assisting incoming callers and providing required information to the best of ability. Serves as the receptionist for the District office. Greets and directs visitors in a friendly and professional manner.

Serves as the front desk receptionist, directing call to the appropriate parties and taking messages in sufficient detail for the party to return the call.

Screens visitors coming into the District office, being sure that they present proper identification and sign in and take a Visitor's Pass.

Performs a variety of clerical and office support to the Senior Highway Maintenance Manager and the Maintenance/Safety unit as needed such as preparing correspondence and memos.

Routes and responds to damage claims related to line painting.

Assists with the preparation of special projects and mailings as necessary.

Responsible to keep Lobby and Switchboard areas neat. Update information. Keep supplies for front desk operation stocked and available for those who relieve you for breaks etc. Update the message board in the Lobby on a daily basis to include the Meeting Room Schedule.

Responsible for routine maintenance of office equipment at front desk, such as stocking paper and changing ink cartridges, etc., to ensure smooth, continual office operations.

Assists with preparation of special projects and mailings as necessary. Responsible for delivering mail that is left at front desk in a timely fashion.

Backs up the Customer Care Center person with entering the information into the CCC system and bringing the item to the attention of appropriate party.

Performs other related duties as assigned.

4. When in an enclosed environment (office buildings, confined spaces, flagger stations, equipment pinch points, etc.), know your evacuation process and escape route, your communication protocols, and appropriately react in the event of an incident.

Succession Planning:
Take an active role in succession planning by completing a Career Development Plan in collaboration with the supervisor. In conjunction with the supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with other employees.

FLSA:
Unless directed otherwise by your supervisor or manager, comply with stated work hours for the 7.5/8.0 hour day.
