Position Purpose:

Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. Provides support to the Medical industry, Lawyers, Legislative Offices, Messengers, Exam Centers, and Drivers.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

* Reviews all incoming medical reports from physicians, law enforcement, and concerned citizens.

* Compares information received to our regulations/statutes and makes an independent
processing decision on the action that is to be taken.

* Processes medical reports using a PC based imaging system, creating one case per driver.
Acting on each report may require medical research, which is performed using the internet and
other information sources.

* Corresponds each driver with an active record using Word processing software.

* Reviews and processes all returned medical forms making decisions based on established
policies and interpretation of existing regulations/statutes.

* Approves and disqualifies drivers for special medical waivers.

* Processes many driver licensing forms/applications, including renewals, permits,
extensions, identification cards and calculates all fees associated with processing.

* Answers all incoming telephone calls.

* Initiates telephone calls to physicians and other medical personnel to acquire
information needed for clarification of reports received by the Department. Also
contacts lawyers, legislative offices, messengers, exam centers and drivers when needed.

* Researches and processes all discrepancies in medical records.

* Researches and processes all CV, PM records.

* Researches and processes all work errored by the Bureau because of medical cases.

* Adds/deletes medical restrictions based on the information received.

* Opens and sorts all mail.

* Prepares daily production report.

* Maintains paper stock and toner in all printing equipment.

* Assists supervisor in developing procedures to minimize customer inconvenience in the
event of a system problem. Also required to assist in gathering documentation when
reporting a system problem.

* Complies with the Driver and Vehicle Services Customers Service Policy.

* Responsible for ensuring that the correct fee waiver code is used and properly
documented whenever a fee waiver is necessary to process a customer transaction.
Complies with all aspects of the Fee Waiver Guidelines.

* Performs other duties as assigned.

* WORKFORCE AND SUCCESSION PLANNING
Take an active role in succession planning by completing a Career Development Plan in
collaboration with the supervisor. In conjunction with the supervisor, participate in
knowledge management/transfer by identifying key aspects of the job and sharing
explicit and tacit program/technical knowledge with other employees.

* Responsible for the researching, processing and customer communication of all notepads
that are applicable to the responsibilities related to your processing unit within
established guidelines and timeframes. (Notepad/72 hrs. and Priority notepad/24 hrs.)

* May be required to work when a full-day and/or partial-day office closing is authorized.
To include but not limited to: early dismissals for inclement weather; the day before
holidays; special holiday closings.

* SAFETY
Assess your environment and be responsible for your safety, the safety of co-workers,
and the public. Attend required safety training and adhere to the requirements of all
safety manuals, policies, and laws. Immediately report to your supervisor any incident,
unsafe practice, or near miss. When in an enclosed environment (office buildings,
confined spaces, flagger stations, equipment pinch points, etc.), know your evacuation
process and escape route, your communication protocols, and appropriately react in the
event of an incident.
