Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position processes policy revisions, updates or changes, as requested by insureds, brokers, agents, as well as customer service functions and other clerical and office duties.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Under the direct supervision of the Administrative Officer and Clerical Supervisor, the person occupying this position is responsible for the following duties:
MAIL FUNCTIONS
1. Handles daily mail, reviewing, sorting, and distributing to the appropriate personnel, and stamp dating of receipt.
2. Handles original policy-related documents (information pages, endorsements, reprints, etc., from OIT and processes accordingly).
3. Prepares policy packets and other policy-related information for mailing to policyholders and Brokers/Agents.

CUSTOMER SERVICE/DATA INPUT
1. Utilizes the SMART System on a daily basis, making the necessary changes and updates to policies, as required by Policyholders, Brokers/Agents, and Pennsylvania Compensation Rating Bureau(PCRB) and Coal Mining Compensation Rating Bureau(CMCRB) correspondence, such as change of address, experience modifications, anniversary rated dates, federal identification numbers, telephone numbers, ownership information, additional locations, and related information.
2. Retrieves and verifies web sites associated with processing of applications.
3. Handles and responds to PCRB and CMCRB regarding disapproval letters, including illegal classification combinations, policy experience modifications, and anniversary rating dates, providing notification to other departments of status, when appropriate.
4. Enters Certificates of Insurance and Alternate Employers as needed.
5. Handles finance company related issues and correspondence, as needed.
6. Handles the addition and deletion of Brokers/Agents on policies, maintaining a current Broker/Agent database by updating and merging, as needed.
7. Handles telephone calls from Brokers/Agents, Policyholders, and other related parties regarding policy issues and underwriting policies and procedures.
8. Reviews monthly and weekly reports from other Bureaus regarding policy updates, and prepares weekly reports, as needed.
9. Performs related work as assigned.

In response to incoming correspondence and inquiries from insureds, brokers, agents, and other departments directly involved with insured's policy, reviews correspondence to determine what is needed to complete whatever is requested.
