Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Reviews and analyzes Requests for Special Probation/Parole Supervision (DC-P 325) from the sixty (60) Court of Common Pleas Judicial Districts in Pennsylvania to determine if a case meets Department acceptance criteria. Prepares Acceptance for State Supervision (DC-P 234) and Conditions Governing Special Probation/Parole (DC-P 235) for investigation and execution by assigned institutional or district parole office staff. Subsequently amends the DC-234 and DC-P 235 when necessary. Prepares, for review and signature by a supervisor, “Not Accepted” letters to the Court, advising of the Department’s decision not to accept probation/parole supervision. Prepares, for review and signature by a supervisor, “Rescind” letters to the Court, advising of the Department’s decision to rescind acceptance of probation/parole supervision. Reviews and analyzes Court Orders to determine sentence effective dates, parole dates, and maximum dates, and extracts special conditions imposed by the Court. Reviews offenders’ Criminal History Record Information (CHRI) and researches offender files to determine if the offender has any history of sex offenses or if the offender has committed new criminal offenses during the requested period of probation/parole. Reviews requests to change offender status codes, and upon verification that the Court has issued a warrant, changes the status code to reflect the offender’s delinquency. Makes subsequent changes to the status code when the offender is apprehended. Serves as a liaison between the Division and Pennsylvania’s sixty-five (65) County Adult Probation Departments and sixty (60) Court of Common Pleas Judicial Districts, and communicates and corresponds with numerous criminal justice stakeholders. Seeks guidance from and reviews problematic or complicated cases with the Division Director and/or Parole Manager in a clear, concise, effective, and timely manner. Assists the Division Director and/or Parole Manager in conducting training/workshops on Special Probation/Parole rules, laws, regulations, and procedures, and on how to properly prepare/submit the DC-P 325. Completes related administrative tasks, including, but not limited to, assigning Parole Numbers to offenders, creating files, data entry, photo copying, mail duties, filing, and file retrieval/file return. |

The “Not Accepted” letters are submitted by the employee to the Division Director or Parole Manager for signature. |
