Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position performs clerical work of moderate complexity, which requires the utilization of typing skills and the processing of a variety of documents. The employee in this position provides clerical support for SCI Coal Township which includes clerical duties for Program Services, Medical, Security Services, and other departments as requested. The employee functions within the policies of the Department of Corrections.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

45% Type various reports, documents and correspondence form handwritten draft, dictated sources, or original source documents into draft or final form. Serve as recorder for functions, such as, meetings, fact finding sessions, etc. Proofread materials to ensure that documentation is grammatically correct, complete, consistent, and adheres to agency rules and regulations. Collect and organize material for reports by determining what available information should be included and presents the information in a prescribed format. Maintain computer databases and records as required.

20% Answers and directs phone calls; receives visitors and directs them as necessary; prepares and processes mail; send and receive faxes. Responds to written and/or verbal inquiries by creating/printing/distributing reports or providing other information as requested. Remains in compliance with standards of confidentiality inside and outside the office.

15% Opens and maintains files electronically and in paper according to office standards. Maintain files by filing documents, sorting alphabetically or numerically and purging as required.

15% Request supplies, equipment, furniture, etc. via electronic purchase requisitions (APR) system/shopping carts as needed. Order, stock, and distribute forms and documents used in the department. Enter travel reimbursement receipts and book travel for personnel as needed. Monitor and schedule routine preventative maintenance for office equipment.

5% Performs other related duties as assigned.
