Position Purpose:

This position performs responsible staff work providing program coordination and administrative assistance to the Corrections Superintendent Assistant (CSA).

Description of Duties:

50 % Inmate Grievance Coordinator:
Collects inmate grievances on a daily basis, performs initial review of inmate grievances. Assigns inmate grievances to designated staff for response, reviews and approves/disapproves responses to grievances and monitors grievance tracking system for timeliness of response. Research issues contained in inmate appeals for the Corrections Superintendent; drafts inmate appeal responses; and prepares final copy of responses to the inmate for the Corrections Superintendent’s approval and the review and signature of the Superintendent. Upon completion, enters the information in the inmate grievance tracking system. Maintains grievance files.

Legal Visits:
Assists Corrections Superintendent Assistant in preparing legal visit requests for the Superintendent's approval.
Inmate Requests to Staff:
Assists Corrections Superintendent Assistant with answering inmate requests to staff (DC-135A).
Right to Know/Release of Information Requests:
Assists Corrections Superintendent Assistant in researching Right to Know request for Chief Counsel's office and Release of Information requests from various outside agencies.
Inmate Litigation:
Assists Corrections Superintendent Assistant in gathering information for inmate lawsuits for Chief Counsel's office and Office of Attorney General.
Inmate Legal Box Exemptions:
Assists Corrections Superintendent Assistant in verifying cases with Chief Counsel's office for legal box exemptions.

Visitor Suspensions:
Prepares letters to offending visitor for Superintendent review and signature. Distributes and maintains records of visitor suspensions.
Inmate Family Contact:
Assists Corrections Superintendent Assistant as point of telephone contact for inmate families.

20% Administrative Support:
Researches and prepares responses of draft reports, letters or inquires and other miscellaneous correspondence to and from the Superintendent as assigned by the Corrections Superintendent.
Serves as alternate Public Information Officer.
Assists Corrections Superintendent Assistant in preparing for legislative visits and other administrative functions as assigned that may include facilitating US Census Surveys, coordinating Red Cross Blood Drives, etc.

20% Accreditation:
Assists Corrections Superintendent Assistant in assuring mandatory and non-mandatory standards are met by: coordinating with department heads responsible for providing documentation, tracking receipt of documentation, reviewing received documentation for applicability to standard, entering documentation into the system.
Operations Inspections:
Assists Corrections Superintendent Assistant in entering plans of action to resolve noted deficiencies into the system. Compiles subsequent documentation to show resolution of deficiencies and assures entry into the system.

10% Miscellaneous:
Performs other related tasks as assigned.
