Position Purpose: Describe the primary purpose of this position and how it contributes to the organization’s objectives. Work is primarily focused on public contact at the district office including in-person, phone and email. Position also supports district fire program as a dispatcher and the forest rangers by checking ATV registrations and supporting their needs. Provides skilled clerical support for district programs and staff. |

Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. PUBLIC CONTACT 1. Answers phone at district office and provides help to callers that may include answering questions about the district and recreational questions, issuing firewood permits, issuing camping permits, mailing brochures and maps to people and directing their calls to the appropriate person in the office. 2. Works a Thursday thru Monday (0800-1600) schedule to provide coverage at the office during peak recreational use. 3. Assists walk-in public at the district office with answering questions, directing them to right people, issuing firewood permits, issuing camping permits and providing them with maps, brochures and other printed materials. ASSIST SALARY CT2 and ADMINISTRATIVE ASSISTANT 1. Acts as a backup timekeeper for the union covered wage and salary employees represented by 2 different unions and working 7 different AWS schedules and 4 different regular schedules. Determines appropriate labor distribution codes and enters them into SAP system. 2. Act as a backup to salary CT2 in reviewing employee requests for overtime and independently verifies the requests are completed correctly as per the union agreement, commonwealth policy and AWS agreement. If request is not correct, clarifies with employee and supervisor. 3. Enters approved leave requests for employees that don’t have access to ESS or leave that is required to process payroll. 4. Views time data screens and runs time data reports as required to be used in preparing payroll error reports and responding to requests for information. Processes payroll audits if necessary. 5. Helps file paperwork and keep files up to date CLERICAL 1. Prepares reports and correspondence for district staff using Microsoft Office programs and collaboration tools such as EXCEL, Google Sheets, Adobe Acrobat Pro., Foxit PDF Editor, TEAMS, ZOOM, Google Meet, Skype, Slack, etc. Creates, sorts, files, and retrieves physical and electronic documents and folders. 2. Greets visitors at the district office. Answers their questions, provides them with maps and brochures, issues firewood permits, camping permits and directs them to the appropriate staff. 3. Prepares outgoing office mail. Operates postage machine and scale. 4. Takes notes at meetings and generates Microsoft word report for distribution. 5. Monitors two-way radio system. Answers and relays messages as necessary. 6. Dispatches fire suppression and search and rescue personnel by phone or radio. 7. Attends training related to performance of duties. 8. Runs ATV and Snowmobile registration reports for forest rangers, state police and local police. TIMBER MANAGEMENT 1. Answers questions on bidding process, contract execution, payments, performance bonds, and invoices. 2. Provides prospective bidders timber sale bid packets that include sale prospectus, and block summary data; provides information on electronic bidding process. 3. Distributes timber sale keys when contractors request them including getting sign out information documented and filed. 4. Prepares mailings of timber sale prospectuses.
