Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Provide clerical and technical support to the District’s 12-0 Plans Unit to ensure work is completed efficiently and effectively.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Perform a variety of a Clerical Assistant II primarily for the Design Unit.

Function as the lead operator for the production and operation of the HP 5100 XL Print Machine and HP SD Pro Scanner.

Prepares and formats correspondence, reports, forms, and other documents. Includes appropriate enclosures are when required. Proofreads and edits all documents to ensure that information is grammatically correct, accurate, complete, consistent, and adheres to current standards in Pub 649- “Style Guide- Pennsylvania Department of Transportation.”

Expected to organize work in a manner which ensures the efficiency and completion of priority work that supports the projects on the district letting schedule or other priority work as directed by supervisor, manager. Performs work with considerable independence within standard department operating procedures and policies.

Responsible for attending, taking notes, and preparing summaries for various meetings as needed.

Expected to utilize and be proficient in department software including but not limited to: ECMS, EDMS, MPMS. As well as other standard computer software and equipment such as: windows Operating Systems, Microsoft Office Products, Scanner, Copier, Fax Machine, etc.

Creates filing systems (paper and electronic) for the preparation, maintenance, and organization of files and records.

Serves as an operator for the operation of the Konica Minolta KIP C7800 machine. Job duties are a combination of technical knowledge, including personal computer applications, internet/intranet and scanning data/prints into the Konica Minolta KIP C7800, utilizing KIP Scan Station, KIP Job Director, KIP Machine Monitor, KIP Repro Station and Imagenation. These scanning and printing applications support the digitalization of engineering drawings and greatly simplify the high volume reproduction of digital engineering drawings and supports Contract Management project advertisements and addenda.

Order/maintains adequate supply of necessary forms, supplies, etc. to ensure efficient office operations.

Performs other related work as required.

Succession Planning:

Take an active role in succession planning by completing a Career Development Plan in collaboration with the supervisor. In conjunction with the supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with other employees.

Department Green Plan Policy:

As part of PennDOT’s MS4 obligations including NPDES Permit compliance and stockpile good housekeeping, all Construction Inspection Employee, Manager & Supervisor and Maintenance Employee, Manager & Supervisor PD’s must include the following statement:
