Position Purpose: Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. Assists Uniform Crime Reporting (UCR) Program participants and the general public with the operation of the Pennsylvania Uniform Crime Reporting System (PAUCRS). This position assists both Summary Reporting System (SRS) and National Incident-Based Reporting System (NIBRS) participants. Also assists with the operation and administration of the Pennsylvania Police Pursuit Reporting System (PPPRS). Provides clerical support for the UCR Unit. Conducts UCR Program training as necessary. |

Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. 60% Assists with operating the PAUCRS/PPPRS Help Desk. Specific duties include: Answering incoming telephone calls, telephone messages, and emails from UCR Program participants, the general public, state/federal agencies, and PPPRS users concerning the PAUCRS and the PPPRS. Interprets needs of help desk contacts to determine appropriate response. Provides guidance based on rules and procedures, without guidance of Standard Operating Procedures. Advising submitting jurisdictions about UCR Program guidelines and PAUCRS submission requirements. Conducts Quality Assurance Reviews (QAR) on agency data for completion, accuracy, and adherence to SRS and NIBRS definitions, and data validations. Documentation and completion of data quality checks, missing data, erroneous data, and other relevant program-related data projects. Uses independent judgement to form complex data and administrative queries via PAUCRS for requested data. Creating reports for requested data, if available. Performing agency/jurisdiction updates within PAUCRS and PPPRS. Independently evaluates and resolves PAUCRS user account creation, password recovery, and user access issues by applying judgment and determine appropriate corrective action without supervision. Working with PAUCRS/PPPRS support and maintenance personnel to identify and resolve problems encountered with the PAUCRS and the PPPRS. 20% Participates in providing UCR Program training. Specific duties include: Assisting with the preparation of course outlines, audiovisual presentations, and training aids for the Basic UCR and PAUCRS training courses. Assisting with maintaining a training database, which includes, but is not limited to, the following training-related information: agency information; attendee name, address, and telephone number; training dates; training site locations, ease of access, recurring use of facility, computer lab availability, Internet availability, and restroom/vending machine availability; and lodging/subsistence availability. Preparing and disseminating training announcements that provide relevant information concerning course topic, dates, locations, etc. Scheduling attendees, as well as preparing and disseminating attendance confirmations. Preparing and disseminating certificates of completion for course attendees. Disseminating course/instructor evaluations to obtain attendee feedback. 15% Performs clerical duties for the UCR Unit. Specific duties include: Opening and sorting mail into designated categories and distributing it to the appropriate recipients. Assembling and mailing/faxing outgoing information to UCR Program agencies and other designated recipients. Lifting and carrying UCR documents and training materials to and from storage areas. Typing and proofreading UCR Unit correspondence from handwritten drafts or original source documents. 5% Performs any other related duties as required.
