Position Purpose: Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. Provides clerical and office support at Cook Forest State Park Complex. At times may be assigned to Ridge Campground, Cook Forest, or Clear Creek Park Offices. Primary job is to greet and register campers and cabin renters. This position performs duties that are routinely executed seven days a week and will be routinely scheduled to work weekends, evenings, and holidays as needed for park operations and to meet seasonal needs. |

Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Perform receptionist duties by greeting visitor, giving general park information verbally, distributing related literature, directing individuals to proper park locations, taking information, screening and routing telephone calls. This is a state park office lobby position with a high volume of visitors during peak season. Operate the computerized Parks Reservation and Revenue System on a daily basis. This includes: making, canceling and moving reservations for cabins, camping sites and shelters; printing out the after hours posting signs, arrival reports for camping, cabins and shelters; register cabins and camping applicants upon arrival. Maintains records and logs for all cabin, camping and shelter revenue and reservations. Total and record the receipts of cabin, camping, shower passes, dumping station passes, and extra car passes. Reconcile these monies received with the monies listed in the Parks Reservation and Revenue System by completing the cash balance form, on a daily basis. For refunds, enter the necessary information, such as name, address, amounts, dates, cancellation charges, etc. per established procedures in the Parks Reservation and Revenue System. Issue refunds per established procedures. Performs daily credit card settlement for revenue received through the Parks Reservation and Revenue System. Operates office machines such as computers, photocopier, laminator and shredder. Maintain general office files physically and electronically as needed. Types replies to general public inquiries via email or for mailing. Composes letters from previous templates. Assists Park patrons by providing brochures, literature, listings or verbal directions. May receive verbal/ email instructions from both Park managers, Administrative assistant, and other office staff. Completes regular inventory of office supplies and advises when need replenished. Track lost and found property per established procedures. Assist new clerical staff with familiarization of office and procedures. Place proper postage on outgoing mail, record postage used and total available. Advise when supply low. Operate Park radio in accordance with park procedures in a professional manner. Keep office, employee restroom, employee break room and work area clean and orderly. Maintain bulletin boards, brochure racks and brochure inventory at office and contact station. Performs related work as required. |
