Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. 40% Controls and directs the administrative functions of the PSP HR Office Manager and three Divisions, by overseeing the flow of all incoming correspondence, directing work assignments to the proper division and ensuring completion, in a timely manner. Performs quality assurance functions for work products by conducting in-depth reviews of final submission of publications in their entirety to ensure the product is complete and accurate and adheres to Pennsylvania State Police (PSP) Department regulations. Proofreads work submitted by the Divisions prior to signature by the HR Manager. Maintains a log on incoming/outgoing Office correspondence to ensure completion in a timely fashion. 15% Prepares reports by collecting, organizing, and compiling and entering data to comply with Office of Administration and PSP programs and directives. 10% Coordinates the HR Office's portion of PSP Commission on Accreditation for Law Enforcement Agencies (CALEA) program for the HR Manager. This entails attending meetings, interacting with PSP staff; reviewing, understanding and interpreting the intent of the CALEA standards for HR Office analysts; collecting, compiling and when needed, preparing proofs of compliance; comparing the content of the proofs against CALEA standards to ensure the spirit and intent have been met and providing the proofs for incorporation into the PSP CALEA program files. 10% Monitors the HR Office budget to ensure compliance with budget limitations and to ensure monies are being spent for maximum benefits. Manages the budget by reviewing request for expenditures; researching costs, specs, and vendors; approving routine expenditures and discussing requests for large or unusual expenditures with the HR Manager. Coordinates purchases of equipment, furniture and supplies for the HR Office by reviewing the requests of HR Office personnel, researching appropriate specifications and brans, recommending options, writing justifications, preparing orders and interacting with vendors. 10% Manages the HR Office electronics assignments and repair; creating and maintaining distribution lists; and ensuring the retrieval and delivery of mail. 5% Coordinates requests from outside law enforcement agencies for assistance with sworn promotional oral board testing by maintaining a list of all eligible PSP members and surveying interest for the request. Once interested individual are obtained and disciplinary history has been reviewed a list of eligible members for the request is compiled and submitted to the Deputy Commissioner of Administration and Professional Responsibility for final approval. Drafts official correspondence from the PSP Commissioner to send to the requesting law enforcement agency. 5% Assists the HR Office, Talent Management Division in processing of PSP civilian vacancies. 5% Other related work as assigned. |
