Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Review the DL-135 Request for Vehicle Information form and accompanying documents for completion before processing. Provide accurate and timely responses to customer requests. Prepare a daily deposit form and submit with checks to the Bureau of Depositing. Read and interpret customer correspondence in order to provide accurate products. Read and comprehend the PA Vehicle Code. Communicate with the public, messenger services, and legislative offices in a professional and courteous manner via written correspondence. Help identify areas for improvement and assist in the development and implementation of solutions. Interpret data from the vehicle record system. Select the correct documents from microfilm and/or ECS and match them to their respective request upon receipt. Review completed work for accuracy. Maintains an accuracy rate of at least 98% (2% maximum error rate). Work leaders or Supervisors will provide feedback to staff regarding correct processing procedures and train new employees to meet quality standards, as well as compiling and maintaining reporting systems pertaining to processing and error rates. Organize, assemble, and send out completed work. Affix the Department's seal on certified documents. Perform verification of monetary amounts, signatures, and dates on personal and business checks. Responsible for ensuring that the correct fee waiver code is used and properly documented whenever it is necessary to process a customer transaction. Comply with all other aspects of the fee waiver guidelines. Responsible for the researching and processing assigned notepads relating to the responsibilities of the vehicle record processing unit within established guidelines and timeframes. (Regular Notepads: 72 hour maximum response time; Priority Notepads: 24 hour maximum response time) Responsible for completing all mandatory Office of Administration and Driver and Vehicle Services online and in-person training courses within the required timeframe. Perform related work as required. Workforce And Succession Planning: Take an active role in succession planning by completing a Career Development Plan in collaboration with the supervisor. In conjunction with the supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with other employees. Safety: 1. Assess your environment and be responsible for your safety, the safety of co-workers, and the public. 2. Attend required safety training and adhere to the requirements of all safety manuals, policies, and laws. 3. Immediately report to your supervisor any incident, unsafe practice, or near miss. 4. When in an enclosed environment (office buildings, confined spaces, flagger stations, equipment pinch points, etc.), know your evacuation process and escape route, your communication protocols, and appropriately react in the event of an incident. |
