Functions as the county training coordinator and provides assistance in the county storeroom as needed. |

Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Assists in reviewing and analyzing data from the Systems Application and Products (SAP) and Roadway Management Systems (RMS) for the county to ensure program goals are achieved and overall systems control is maintained. Monitors the daily, weekly, and monthly reports to compare the utilization and settles discrepancies with vendors. Assists in performing stockpile reviews as required to ensure that inventory maintained in the system for materials matches the actual quantities on-hand Runs reports in Analysis Office (AO) for Funds Management Balances and Open Commitments to assist the RPC in Budget monitoring to maintain control of accounts in accordance with standard operating procedures. Post all account activity on utility spreadsheets, journals, and ledgers. Runs and analyzes AO reports for Inventory Turnover and Zero Usage to see inventoried items that the county is no longer using and works with District Materials Coordinator to advertise for Surplus and transfers. Monitors all Service PO’s and schedules services with the vendors as needed and assists in monitoring service purchase orders for discrepancies. Monitors and matches hourly, daily, weekly, and monthly usage in SAP. Helps keep track of hours and quantities on purchase orders and notifies Roadway Programs Coordinator when adjustments are needed. Will serve as an SDS Hazardous Substance Coordinator utilizing the SDS Pro Database/WIM System and SDS Intranets to keep records up to date yearly throughout the County. Works with District Purchasing, Storeroom and vendors to monitor Battery core credits and keep the tracking spreadsheet up to date. Works with District office to complete Monthly Physical Inventory Counts. Monitors all waste tracking for Municipal, Residual and Hazardous Waste, including but not limited to used oils, detergents, and other fluids for disposal. Maintains accurate records to be reviewed annually by an outside audit company. Coordinates all pickups for waste products. Generates Maintenance IQ Maps to help eliminate out of sequence rework, support core cyclical maintenance activities on cycle, and reduce mobilization and travel time costs by establishing Sectional Cycle Maintenance Programs. Monitors progress of plans throughout the construction season running planned vs. actual production reports and identify potential data integrity issues within the various source systems. Will also use Maintenance IQ in direct correlation with many of the Maintenance Accreditation Performance Index (MAPI) Asset Management focus area metrics and view and export data used to generate GIS maps. Will work in the storeroom and receive in all requested orders assuring accuracy with orders assisting in receiving deliveries, checking quantities against purchase orders and entering Goods Receipts and Shopping Carts in SRM. Will then submit to District Purchasing and notify them of any discrepancies. And will be in charge of stocking and issuing out items to field and garage staff in conjunction with other RPT1 and on respective shift during winter operations. Will be required to follow all procedures put in place by management for distributing goods to field and garage personnel. Responsible for tracking and updating Winter Municipal Agreements. Will serve as back up to Snow Route Planning, working with Assistant County Maintenance Managers updating and preparing snow route templates to ensure snow route maps can be accurately created. Performs monthly Stockpile Safety Inspections; Documents SEMP violations/findings; reports all inspections monthly to Safety Council. Attends the monthly Safety Committee meetings. Works with Safety Coordinator twice a year in setting up for County Safety Stand Down day. Responsible for the County’s employee training program. Assists with determining training needs, assessments, and development of a county wide training plan for each fiscal year, detailing training courses. Utilizes Success Factor (SF) to track required training and refresher training. Inputs completed training data into the system to ensure training data is correct. Uses reports to ensure that refresher training is scheduled and completed prior to the expiration of employees existing certifications. Maintains accurate and up to date files on all training data. Will complete Certified Instructor Training to assist with yearly classroom training needs. Works with the District Training Coordinator and course instructors to schedule and/or procure the required training facilities, audio/visual needs and materials. Will be responsible for working with Sign Foreman in programming and tracking all Message Boards within the County. Operates forklift, hand truck or other storeroom equipment to move over-sized or heavy materials. This position is required to cover a winter shift in the Storeroom during winter operations and must be available for overtime needs. Performs related duties as assigned. Safety: 1. Succession Planning: Take an active role in succession planning by completing a Career Development Plan in collaboration with the supervisor. In conjunction with the supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with other employees. Department Green Plan Policy: Commit to following the Department’s Green Plan Policy (Pub 712) and the associated principles. Failure to comply with the Department’s Green Plan Policy shall be documented in the employee’s performance review. Fair Labor Standards Act: Unless directed otherwise by your supervisor or manager, comply with stated work hours for the 7.5/8.0-hour day. |
