Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Provide efficient document images as a scanning operator for Driver and Vehicle Services. Image transactions for the purpose of maintaining either physical or electronic records into the Enterprise Content Services (ECS) Retrieval System as mandated by the Motor Vehicle Code. Also provide storage support for PSP project, to include separating work received by date, constructing record center boxes, storing work, dating boxed work appropriately for future retrieval and preparing boxes for transportation.

Provide assistance to the Clerical Supervisor 1 in correcting employee’s errors. Assist the clerical supervisor in training new employees, distributing daily work and priority work. Utilize CARATS inquiry to correct documents with inaccurate WID’s. Primary backup for UAT as needed.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

The employee receives and prepares Driver and Vehicle Services source documents for image capture onto an imaging repository. To perform this function: An OPEX Falcon Scanner is used.

Will need use the CARATS, DL+C system, placards systems to research any discrepancies. Will be responsible for training new employees on scanning and PSP procedures.

Log onto the computer and select the appropriate job that you will be running from the Host software. Review the documents to ensure that there are no foreign objects such as staples, paperclips, etc. Scan all documents according to the parameters that have been set for each specific job. Place the documents onto the conveyor to be scanned. Unfold any pages so that they may scan correctly and not jam the machine. If a jam does occur, analyze the problem and follow the necessary steps in order to correct the jam and continue scanning. Submit the images according to procedures. Place completed batches of work on the appropriate carts/shelves. Deliver checks found in the work to the supervisor. Review displayed images in the Preview window on the monitor to ensure image quality and that all documents are being scanned properly. If necessary, make adjustments that will allow legible images to be captured. If an image needs to be re-scanned or removed; stop the machine, identify the document(s) and re-scan or remove them according to procedure. Ensure that documents are being sorted into the correct sort bin. Clean all the scanner parts (conveyor, stacker, feed assembly, belts, etc.) Prepare daily written reports of production showing type of work imaged, time spent on each assignment and the amount of documents imaged. Ability to recognize, identify and make minor equipment repairs.

The employee is responsible for the PSP storage process. To perform this function the employee identifies all work that contains work with a Pennsylvania title. The employee separates the work for storage into record center boxes. Employee identifies work with report that reflects what the box contains by Julian Date and Operator ID numbers. Once record center box is complete, the employee places lid on the box and stores it with similar work (BMV, auction, etc) for a period of 1 month. After 1 month, employee will be instructed by supervisor to label each box according to list provided by the supervisor and stack similar work on skids for transport to storage warehouse. Once skid is complete (40 boxes per skid), employee wraps the skid with either shrink wrap or bands securely and moves them to a holding area designated by the supervisor. Once the supervisor contacts the warehouse driver to set up delivery times, the employee moves skid(s) down to the 1st floor dock area for pick up. Physically brings up unused skids from the dock to the second floor. Utilizes either a manual skid jack or motorized jack to transport fully loaded skids to the dock area.
In this Position, you will be cross trained on Exceptions functions.

Prepare daily written reports of production showing type of work imaged, time spent on each assignment and the amount of documents imaged. Ability to recognize, identify and make minor equipment repairs. Must be available for overtime when necessary. Perform other related duties as assigned.

I make sure that all documents needed to be scanned are in the proper order. I pull priority batches to be sent to appropriate processing units. Utilize the correct program to run specific jobs. Review images to ensure quality prior to submission to ECS repository. I make sure that the PSP storage process is boxed, labeled, skidded and transported to dock area safely and efficiently.
