Position Purpose: Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. This position performs analytical, administrative, and program support work related to agency programs and statewide juvenile justice initiatives. Work includes gathering, organizing, and analyzing information; maintaining spreadsheets and tracking documents; assisting with data collection processes; preparing draft reports, dashboards, and summaries; supporting meeting preparation and follow up; assisting with program performance measures; and helping to develop materials used to communicate information to internal staff, counties, juvenile probation departments, and other system stakeholders. |

Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Organize, analyze, and report on program information and juvenile justice data to support executive evaluation of trends, goals, and the impact of agency programs. Use and maintain spreadsheets, databases, tracking documents, and other tools to record, organize, and summarize program information. Gather information through surveys, research, agency contacts, county contacts, Pennsylvania Juvenile Case Management System (PaJCMS) queries, and review of program documentation. Review data contract information for completeness, consistency, and accuracy, and identify questions or issues for review by higher level staff. Prepare tables, charts, graphs, summaries, recommendations, and narrative reports to support agency planning, monitoring, program evaluation, and decision making. Support the development, monitoring, and updating of program performance measures for juvenile justice initiatives and agency projects. Prepare materials for reports, data packets, presentations, dashboards, annual publications, newsletters, and other stakeholder communications. Recommend content development and information gathering for agency publications. Provide support for quality assurance and continuous quality improvement activities by helping to organize information, track county level data issues, summarize findings, prepare follow up materials, and make recommendations. Compile information needed for external data requests, research partner requests, and other stakeholder inquiries, including tracking required documentation and organizing supporting materials. Review policies, procedures, guidance, and program materials to support statewide juvenile justice initiatives and agency operations, making recommendations as needed. Maintain organized electronic files, documentation, and reference materials for Research and Analytics Unit projects. Support Juvenile Justice System Enhancement Strategy activities, workgroups, and other statewide initiatives by preparing materials, tracking assignments, organizing meeting information, and assisting with follow up. Participate in meetings with agency staff, county juvenile probation departments, research partners, and other stakeholders to gather information, clarify program needs, and support assigned projects. Assist with the planning and implementation of program changes by maintaining project tracking documents, preparing status updates, and helping to coordinate information among internal staff and external stakeholders. Assist with the preparation and revision of training materials, user guidance, forms, instructions, and other documents related to agency programs and data collection processes. Collaborate with team in planning and preparation for statewide meetings, trainings, conferences, and other agency events, including the James E. Anderson Pennsylvania Conference on Juvenile Justice. Perform related work as assigned. |
