Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Provides a wide variety of clerical and secretarial duties for the staff at the Pennsylvania State Fire Academy (PSFA) under the direction of the PSFA Administrator.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Request price quotes and prepare payment for catering services for PSFA educational offerings, meetings, events, etc., conducted at the PSFA.

Handle all forms of communication (letters, emails, phone messages). Refers detailed inquiries to the proper staff member for resolution when necessary. Handles all incoming deliveries and outgoing packages.

Using a variety of sources, collect data, collates information and provides documentation and administrative support to PSFA Staff as directed. This includes typing correspondence, contracts, agendas or other required documentation. Proofreads materials for grammar, accuracy and adherence to Commonwealth policies.

Perform data entry to maintain electronic training records, including but not limited to Academy on the Road (AOTR), Local Level, Resident, Alternative Energy Emergency Response (AEER), and Health, Medical, and Emergency Preparedness (HMEP) courses.

Process and input Adjunct Instructor payroll on pre-assigned schedule.

Process time and travel submitted by Adjunct Instructors, creates expense reports, and submit for payment.

Handle all inquiries from assigned Adjunct Instructors related to payroll, travel, etc.

Act as main point of contact for database portal requests from constituents.

Prepare and submit documentation, spreadsheets, and reports as requested by PSFA Administrator pertaining to training reports of PSFA programs.

Handle data entry for local level programs including student registrations, instructor scheduling, end of class processing, and graduation of students.

Performs other related or special duties as required.

EMERGENCY ASSIGNMENT

During designated emergencies or disasters, performs assigned duties at the State Fire Academy and other locations within the Commonwealth as assigned by the State Fire Commissioner.
