Position Purpose: Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. Provide the motoring public visiting Welcome Center facilities with effective, efficient, and accurate information and resources to shape their travel plans. This position is a part time “on-call” position which requires reporting to work within short notice to cover shifts ranging from 7:00am – 7:00pm, 7 days per week. (Hours of operation are temporarily 9:00 am - 5:30 pm). Shifts vary and working hours are based on operational need. |

Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. 1. Deliver improved customer service to all PENNDOT Welcome Center stakeholders (traveling customers, tourism industry partners, internal customers, employees, vendors, etc). Provide travelers with key information regarding their visit to PA including directions and hotel accommodations to boost travel in PA. 2. Improve PENNDOT’s tourism outreach efforts and strengthen our partnerships with the industry through special programming at the Welcome Center, participation in familiarization tours, travel shows and other duties as assigned by developed by immediate supervisor or division manager. 3. Support internal and external communications to improve Welcome Center Division operations. - Provide direct communication with the Tourist Information Supervisor to communicate questions, concerns, and ideas regarding Welcome Center staff and operations. Other responsibilities include: - Open and/or close the Welcome Center punctually on an as needed basis. It is imperative the employee in this position be available to work on-call. - Report directly to Tourist Information Supervisor - Represent the Tourism Services Office and the Commonwealth (PENNDOT) Welcome Center. The employee will greet, welcome and assist guests. Maintain a working knowledge of Pennsylvania’s highways, transportation systems, public and private attractions and recreation areas, events, weather conditions, accommodations and tourist attractions, and will distribute same information to guests. The employee will be required to answer specific questions on Pennsylvania. - Keep the Welcome Center and its literature and product displays neat, clean and orderly. When necessary, the employee orders and maintains adequate supplies of literature and office supplies as instructed by his/her supervisor. - Unpack all literature and supply orders; make sure items are properly stored in the Welcome Center stockroom. Boxes may weigh to 30 pounds. - The employee will prepare complete and accurate daily report forms, including accurate customers-served counts and reservations, notation of visits from government dignitaries, hotel, motel, tourist attraction operators, etc. - Maintain up-to-date inventory of all literature available for distribution, and contract appropriate bureau/warehouse personnel inventory matters. - Perform clerical duties as assigned by the Welcome Center Supervisor, Division Manager or the Tourism Manager. - Travel is required several times annually for attendance at required meetings, travel shows and familiarization tours for training, educational, problem solving and promotional purposes. - Assist the Welcome Center Supervisor with projects, or assignments as necessary. - Perform other job duties as required. Attend required safety training and adhere to the requirements of all safety manuals, policies and laws. 3. Immediately report to your supervisor any incident, unsafe practice or near miss. 4. When in an enclosed environment (office buildings, confined spaces, flagger stations, equipment pinch points, etc.), know your evacuation process and escape route, your communication protocols, and apparently react in the event of an incident. *Promote a CULTURE that emphasizes SAFETY as a core value: - Immediately stop any unsafe actions - Incorporate safety into all discussions, deliberations and decisions. - Continuously communicate the safety direction. - Inspire employees to be a MODEL for safety. - Encourage and support safety initiatives and programs by participating and involving your staff. - Recognize safety daily. - Acknowledge EXTRAODINARY achievements. - Learn and improve through After-Action Reviews (AARs). - Enforce accountability. Workforce Succession Planning: Take an active role in succession planning by completing a Career Development Plan in collaboration with the supervisor. In conjunction with the supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with other employees. |
