Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively.

The intern will assist with mapping projects using GIS software and the office’s digital mine map repository for use in the Departments Mine Subsidence Insurance Program. The Intern will also assist with researching underground coal mining data to assist in mining related subsidence issues. The intern will assist with entering mining related information into various databases.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Our interns will be assisting the California District Office in transferring the large number of paper mine maps we have into a useable digital format. We have one of the largest and most extensive underground mine map repositories in the state with approximately fifteen to twenty thousand maps of varying age and condition. We are concerned about the loss of data due to the age and fragile condition of the maps. In order to preserve the data that is contained on these maps we have decided to scan as many maps as possible. Not only will scanning these maps ensure that we will not lose any of the precious data that they contain, but the maps will then be in digital format that can be processed for use in our GIS.

Maps in digital format are also more easily and reliably accessible for distribution to those who seek information that they contain. Our goal is to have these mine maps in digital format and integrated into our GIS. When this system is in place, it will be possible to find a location on a map and import the map that shows mining in the vicinity of that location. This system will save our office and the public a great deal of time and effort that would have been spent searching through the map room for paper mine maps.

In addition to the processing of the maps in the California District Office collection, the interns will be assisting the Technical Services Unit (TSU) with their efforts to scan, catalog, georeference, and digitize several outside mine map collections.

The Interns will also work with the GIS that we are currently using in the Mine Subsidence Insurance program. They will assist with creating and editing mining related features classes, georeference and digitize scanned mine maps, compile map layouts, and query data using GIS software.

While the interns will assist primarily with scanning, georeferencing, and digitizing mine maps stored at various DEP offices, they will also gain experience assisting in several other areas.

Some of the specific tasks the Interns will assist with are as follows:

1. Update a thorough inventory of the map room.

2. Input inventory data into a spreadsheet or database file for future reference.

3. Gather, disassemble, and reassemble map binders.

4. Scan mine maps on a large-format digital scanner.

5. Manipulate scanned images to improve image quality while decreasing file size.

Some of the skills and experience that the Interns will receive are as follows:

1. Large-scale mapping and cartography in general and specifically topographic maps and coal mine mapping.

2. Acquisition and preparation of data to be used in a GIS.

3. GIS concepts using GIS software.

4. GPS concepts, software, equipment, and data collection for use in a GIS.

5. Typical business duties in a DEP District Office.

Performs other related duties as required.

Decision Making:
Describe the types of decisions made by the incumbent of this position and the types of decisions referred to others. Identify the problems or issues that can be resolved at the level of this position, versus those that must be referred to the supervisor. Example: In response to a customer inquiry, this work involves researching the status of an activity and preparing a formal response for the supervisor’s signature.

The intern receives overall objectives and/or general instructions from the immediate supervisor, and can seek the supervisor’s advice at any time. All work is reviewed in detail for completeness, technical accuracy, and soundness of approach.

Interns will be taught the DEP mine map scanning standards and how to properly handle fragile historic documents with care.
Interns will be made aware of the image quality standards and will be taught how to properly use a large-format roll scanner and scanning software to create the best possible representation of the mine map being scanned.

Interns will be taught to retrieve information from a mine map or map file and how to properly input this information into our mine map database or PHUMMIS.

Interns will be taught to use GIS software to view and manipulate scanned map images as well as create and develop basic GIS data layers by digitizing and attributing information.
