Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Type operating, capital, and budget reports and other fiscal and statistical documents. Review data for grammatical and numerical accuracy and completeness, organize according to established format and prepare drafts and final form of documents. Take notes of meetings and type into official minutes for various committees and other meetings. Operate office equipment such as computer, typewriter, transcriber, fax machine, calculator, copier, and shredder to process correspondence and other documents. Type or complete forms and correspondence from copy, draft or general instructions. Proofread and verify the use of proper grammar and spelling. Maintain the Administrative Officer 5's calendar by entering meetings the Administrative Officer 5 requests, or by arranging meetings others request according to availability on the Administrative Officer 5's calendar. Make hotel and travel arrangements as needed. Enter travel expense data according to state travel regulations for travel reimbursement for the Administrative Officer 5. Screen visitors and phone calls and refer to appropriate personnel for handling. Responsible for the daily distribution of incoming mail to respective departments. Prepare daily outgoing mail for delivery to the Post Office. Responsible for the daily monitoring of postage meter machine to include maintenance and daily log. Assist the Revenue/Accounting departments as needed to include Medicare billing, data entry utilizing computer software and filing/mailing of business correspondence. Utilize SRM program to requisition and receive items/services for the facility as needed. Participate in mandatory in-service and attend other continuing education seminars to improve skills and knowledge. Enter travel requests and reimbursements for department staff as directed. Perform related duties as required. |
